Reports to General Manager

Full-Time – Administrative – Exempt

Position:

The office manager is responsible for overseeing the day-to-day administrative and human resource functions of the condominium staff. This position will provide leadership and operational support to ensure the office and other departments function efficiently, professionally and in accordance with established policies.

The ideal candidate will have strong human resources, payroll, employee relations and supervisory experience along with the ability to work effectively with employees, residents, vendors and management.

Essential duties and Responsibilities:

Human Resources and Payroll:

  • Manage and coordinate employee on and off boarding to include required documentation, orientation, system access and exit procedures.
  • Administer and coordinate employee benefits, including enrollment, changes, employee communications and coordination with benefit providers.
  • Process and oversee payroll, timekeeping, attendance records, PTO and payroll-related changes.
  • Maintain confidential and accurate personnel files and HR documentation.
  • Assist the General Manager with recruitment, interviewing, hiring, employee relations, disciplinary documentation, performance management and terminations.
  • Help ensure compliance with applicable employment laws, condominium policies and HR procedures.
  • Coordinate workers’ compensation, leave requests and other employee-related administrative matters as required.

Staff Supervision:

  • Provide direct supervision and day-to-day leadership of office/administrative staff as well as other departmental staff as needed.
  • Coordinate staffing schedules and ensure appropriate departmental coverage.
  • Establish clear expectations and monitor employee performance and professionalism against industry/Greenhill standards.
  • Conduct or assist with employee coaching, performance evaluations and corrective action.
  • Promote a professional respectful, accountable and resident-focused workplace culture.

Office & Administrative Operations:

  • Oversees daily condominium office operations and administrative workflows.
  • Ensure resident inquiries and concerns are addressed promptly and professionally.
  • Maintain organized records of correspondence, contracts, employee documents and other administrative files.
  • Coordinate office supplies, equipment and administrative vendors.
  • Assist with preparation of reports, correspondence, meeting materials, notices, and other documents for the General Manager.
  • Support communication between management, employees, residents, vendors and the board.
  • Assist the General Manager with special projects and operational initiatives.

Additional Responsibilities

The office manager will serve as a key administrative resource to the General Manager and may be assigned additional responsibilities based on the evolving operational needs of the condominium. The position requires flexibility and the ability to manage changing priorities, resolve issues independently and step in where needed to support the successful operation of the property.

Qualifications:

  • Minimum 3 years of office management, HR and administration.
  • Experience supervising multiple employees or departments strongly preferred.
  • Property management, condominium, HOA, hospitality or residential community management experience preferred.
  • Working knowledge of employment practices and confidentiality requirements.
  • Strong organizational, leadership, communication and problem-solving skills.
