Job Summary:
The Maintenance Director is responsible for managing and coordinating all property maintenance operations, as well as leading key maintenance-related projects. This includes supervising the maintenance team, overseeing repairs, developing and implementing preventive maintenance programs, managing budgets, ensuring compliance with safety regulations, and coordinating large-scale capital improvement projects. The Maintenance Director will also act as a Project Manager for renovation and improvement initiatives, ensuring that all projects are completed on time, within budget, and meet quality standards.
Key Responsibilities:
- Leadership and Team Management:
- Supervise, mentor, and provide direction to the maintenance team, including hiring, training, scheduling, and evaluating performance.
- Foster a positive work environment, promoting teamwork, and encouraging professional development among staff.
- Ensure the maintenance team operates efficiently and completes tasks within deadlines.
- Preventive Maintenance:
- Develop, implement, and manage preventive maintenance programs to ensure the longevity and optimal functioning of all equipment, facilities, and common areas.
- Conduct routine inspections of buildings, grounds, and equipment to identify potential issues and plan for timely interventions.
- Maintain detailed documentation of all maintenance activities, ensuring adherence to best practices.
- Project Management:
- Plan, manage, and execute renovation and capital improvement projects, such as building upgrades, equipment replacements, and large-scale repairs.
- Develop comprehensive project plans, outlining objectives, timelines, resources, and budgets.
- Coordinate with contractors, vendors, and stakeholders to ensure smooth project execution.
- Oversee project milestones, monitor progress, and adjust plans as necessary to stay within scope, time, and budget.
- Ensure that all projects meet the required quality and safety standards, completing final inspections and reporting to senior management.
- Repairs and Troubleshooting:
- Coordinate and supervise maintenance and repair activities for HVAC, electrical, plumbing, mechanical, carpentry, and other building systems.
- Respond to emergency repair requests and lead the team in providing timely and effective solutions.
- Manage relationships with external contractors for specialized repairs.
- Budget and Inventory Management:
- Prepare and manage the maintenance department budget, ensuring costs are controlled and expenditures remain within approved limits.
- Analyze and optimize cost-saving measures within maintenance operations.
- Maintain inventory of supplies, tools, and equipment, ensuring availability for all maintenance needs and managing vendor relationships for procurement.
- Compliance and Safety:
- Ensure compliance with all local, state, and federal regulations, including safety, health, and environmental standards.
- Establish and enforce safety protocols, including conducting regular safety audits and staff training.
- Address and resolve potential hazards promptly, ensuring a safe environment for residents, staff, and contractors.
- Vendor and Contractor Management:
- Build and maintain relationships with contractors, vendors, and suppliers.
- Negotiate contracts, coordinate services, and manage external vendors to ensure high-quality work and adherence to project timelines.
- Oversee the performance and accountability of external service providers, ensuring quality control.
- Resident Relations:
- Act as the main point of contact for residents regarding maintenance-related issues and concerns.
- Ensure resident satisfaction by responding promptly and professionally to requests for repairs and special services.
- Coordinate with the property management team to address specific resident needs during projects.
- Record Keeping and Reporting:
- Maintain accurate records of all maintenance activities, projects, inspections, and repairs.
- Regularly prepare reports on maintenance operations, project progress, budgeting, and staff performance for the General Manager and other stakeholders.
- Track key performance metrics to monitor efficiency and identify areas for improvement.
- Identify opportunities for improving operational efficiency, cost-effectiveness, and service quality within the maintenance department.
- Stay updated with industry best practices and trends in facilities management and project management.
- Propose and implement improvements to processes, systems, and tools to enhance maintenance and project operations.
