Via Elegante Assisted Living is seeking a dynamic Executive Assistant to support our Executive Director. WhatYou’ll Do Administrative Support
- Provide direct administrative support to the Executive Director
- Manage front desk operations, phones, emails, and visitor coordination
- Maintain organized records, billing support, and compliance documentationli>
Assist with resident admissions and onboarding paperwork - Coordinate transportation scheduling and provider communication
- Support financial tracking, deposits, and documentation submission
- Assist with special projects and community initiatives
- Respond to resident and family inquiries with professionalism and warmth
- Support new resident move-ins and room transfers
- Conduct community tours for prospective families
- Monitor care-related communication and documentation
- Help maintain a safe, welcoming, and organized environment
- Assist in planning and coordinating life enrichment programs
- Support group activities, outings, and dementia-friendly engagement
- Help maintain the monthly activities calendar
- Ensure activity spaces and supplies are organized
- Encourage resident participation and social connection
- High School Diploma or GED required
- Experience in senior living, healthcare, hospitality, or administrative coordination preferred
- Strong organizational and multitasking skills
- Confident communicator with a warm, professional demeanor
- Proficient in Microsoft Office and digital systems
- Ability to manage multiple priorities and meet deadlines
- Valid Arizona Driver's License (or )
- CPR/First Aid certification (or ability to obtain)
- Ability to work occasional evenings, weekends, or holidays as needed
- Arizona Memory Care Certificate

Salary: $20 - $25 per hour
