TITLE: Executive Assistant

EMPLOYMENT

TERMS:

Twelve (12) Months

SALARY CLASSIFICATION: Classified Non-Exempt

GENERAL STATEMENT OF RESPONSIBILITIES:

At Red Mesa Unified School District, the Executive Assistant is responsible for the vision of school faculty, staff; and all activities occurring within the school, carrying out the policies of the Board of Education, and assisting the Superintendent. The job of the Executive Assistant is to demonstrate a caring and understanding relationship with parents and the community; to have a positive working relationship with the governing board and employees of the district;

to maintain a high level of confidentiality; to assure compliance with statute, rules and regulations and governing board policy with regard to governing board agendas; to assist in ensuring the smooth and efficient operation of the Superintendent’s office.

RESPONSIBILITIES AND DUTIES:

  • Serve as secretary to the Administrative Cabinet (agenda and minutes).
  • Assists the Superintendent with details of the management responsibilities.
  • Maintains Board minutes and records.
  • Schedule meetings and facilitate action through expediting and coordinating the flow of information.
  • Manages the collection and assembling of material for the Board of Education and organizes the Board Agenda.
  • Compiles and types agenda for official meetings and committees and Governing Board.
  • Provides Superintendent and Governing Board travel arrangements, expenses and schedules.
  • Arranges meals for Governing Board members as needed.
  • Processes Superintendent and Governing Board travel expense reimbursement forms
  • Takes minutes at meetings for committees, as required
  • Management of classified personnel assigned to the Superintendent's Office
  • Serves as liaison for the Superintendent and Governing Board
  • Maintains Committee, Superintendent and Governing Board calendars, as required
  • Responds to various inquiries, researches problems, prepares related reports
  • Types and takes dictation, as required
  • Performs other related tasks as assigned
  • Must support guiding principles as established by the Superintendent and Governing Board

QUALIFICATIONS:

EDUCATION:

Minimum Associates of Arts degree or higher.

EXPERIENCE:

Have at least three (3) years of successful experience executive secretarial position, preferably in a school setting. Familiarity with preparation of Board materials. Experience in assisting top management in executing their functions with demonstrated interpersonal and organizational skills.

Have at least three (3) years of experience as a supervisor/administrator preferred. Have experience working in a multicultural/rural;
Navajo or Native American Preferred.

LICENSE:
Arizona Fingerprint Clearance Card.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Governing Board’s policy on evaluation of professional personnel.
