We're looking for an experienced Loan Officer Assistant to become one of the most essential people on the team. Not the most visible seat but one of the most important.
The RoleThe Loan Officer Assistant is the operational backbone of every loan that moves through our pipeline. You'll work as a direct extension of our Loan Officers by managing files from application through processing, keeping timelines on track, coordinating with borrowers and vendors, and making sure everything is buttoned up before it ever reaches an underwriter's desk. This spans both our brokered and non-delegated correspondent channels.
Here's the honest truth about this job: the best LOAs make it look easy. Files move cleanly. Borrowers feel cared for. Conditions are resolved before anyone has to chase them. The closing table is calm because you made it that way, days or weeks before anyone got there. That invisible, behind-the-scenes excellence is the whole achievement. If you take real pride in that kind of work, this is your seat.
This is not an entry-level role. We're looking for someone with at least four years of mortgage operations experience, deep knowledge of broker and correspondent file requirements, and the confidence to work independently by anticipating problems before they become problems. Spanish-speaking ability is strongly preferred.
This is a full-time, in-office position based in the West Valley Phoenix area.
What You'll OwnFile Setup & Loan System Management
Set up new loan files and keep the LOS accurate, complete, and organized from day one.
Prepare, send, and track initial disclosures.
Maintain clean loan files including title information, fee worksheets, contracts, and contact records.
Ensure loan milestones, timelines, and documentation stay current throughout the process.
Application & Documentation Review
Review loan applications for accuracy, consistency, and completeness.
Pull property profiles and county tax data.
Organize, label, and quality-check borrower documentation.
Proactively request missing documentation before it becomes a delay or a condition.
Third-Party Services & Vendor Coordination
Order, track, and follow up on title, homeowners insurance, appraisals, FHA/VA case numbers, VOEs, and other property-related services.
Coordinate with borrowers, agents, title companies, and vendors to keep communication smooth and timelines intact.
Review and confirm final homeowners insurance documentation prior to closing.
Processing Support & Condition Management
Submit complete, well-documented files to Processing.
Collect, organize, and track lender and processor conditions — labeled correctly, uploaded cleanly, and ready for review.
Partner closely with Processing to keep files moving efficiently toward closing.
Serve as a consistent point of contact for borrowers, agents, processors, and vendors throughout the loan process.
Communicate proactively and professionally — no one should have to chase you for an update.
Anticipate needs, solve problems quickly, and help maintain a high-touch borrower experience from application through closing.
Support Loan Officers in managing active pipelines and protecting the referral relationships that drive our business.
