Position SummaryResponsible for managing the Nursing Department office activities: prepares reports, maintains data and budget for grant compliance, assists in budget preparation and monitors budget throughout the budget cycle, schedules and manages student workers, ensures timely processing for purchase orders and procedural forms, assists in the nursing program admissions process by maintaining all pertinent paperwork and compiling reports for faculty evaluation of candidates, provides clerical and communication coordination services for the Nursing Department in various job functions as delegated.
Core work functions are completed by performing the following duties and other duties as directed.
- Create a database for received applications to align with admission criteria.
- Work closely with the Department Chair and Prelicensure Program Director to ensure applicant files are complete and up to date based on student file checklist.
- Evaluate retail sources and prepare informational flyers for new nursing students’ equipment and uniforms.
- Orient new nursing faculty and staff to the nursing office system. Complete travel and reimbursement forms.
- Assist with departmental ceremonies.
- Coordinate meetings, agendas, facilities, and minutes. Maintain archives for accreditation surveys.
- Maintain spreadsheets of data for grant reporting. Oversee student workers’ scheduling and availability.
- Establish, maintain, and monitor equipment inventory by processing and tagging new equipment, verifying physical inventory, and balancing monthly print-outs of inventory against records.
- Monitors revenues and expenses.
- Prepares monthly expense sheets.
- Verifies, analyzes, and reconciles expenditures and costs, collects and compiles budget data upon request.
- Conduct nursing building tours.
- Respond to program information requests.
- Initiate and maintain clinical agency contracts and annual renewals.
- Assist with the preparation of reports.
- Manage correspondence and mail.
- Maintain various lists/rosters of community stakeholders.
- Maintain inventory of office supplies and equipment.
- Oversee student and faculty access codes.
- Monitor security systems.
Ability to apply common sense understanding, communicate effectively, and perform physical job requirements including lifting up to 25 pounds.
General Days/HoursMonday – Friday, 8:00 a.m. – 5:00 p.m. Additional hours as requested. Regular and reliable attendance required.

Minimum QualificationsTwo-year degree from a college or technical school; one-year related experience and/or training; or equivalent combination of education and experience.
