Job Summary:
The Program Secretary is responsible for assisting the Academic Coordinator and Program Director with day-to-day operations and data support for the Upward Bound Program.
Position Duties:- Prepare correspondence from staff.
- Assure proper admission documents and other correspondence documents are maintained in participant’s files.
- Assist Program Director with data collection.
- Provide program information to those who inquire by phone or in the program office.
- Process reports and related information about the program.
- Maintain computerized tracking system.
- Create on-line monthly newsletter of Upward Bound participants and parents.
- Report directly to the program director.
- Must be punctual and timely in meeting all requirements of performance, including, but not limited to attendance standards and work deadlines; beginning and ending assignments on time; and scheduled work breaks, where applicable.
- Maintain courteous, professional and effective working relationships with employees, target high schools and/or any other representatives of external organization.
- Comply with all College policies and procedures
- Assist the Director of Upward Bound Trio Programs by performing other related duties as assigned.
Skills:
- Proficient at typing and word processing.
- Strong English language skills.
- Demonstrated competency in filing and data collection.
- Ability to communicate effectively.
- Ability to relate well to high school students.
- Knowledge and skills in basic computer applications.
- Background similar to that of participants preferred.
- Familiar with web-based application.
- Ability to work independently, as well as on a team.
- Ability to work and maintain the highest level of confidentiality.
- Good communications skills, both written and spoken.
- Ability to organize and prioritize work. Work well under deadline pressures.
- Excellent human relations skills. Ability to work with individuals from a variety of backgrounds.
- Have a valid drivers license.
- High School diploma or equivalent
- A minimum of six months of clerical experience is required.
- Experience in an educational setting preferred.
- Must exhibit training, sensitivity and commitment to the needs of students from disadvantaged backgrounds.

Physical Requirements:Ability to sit or stand for extended periods of time; ability to move freely around the campus and outreach centers; ability to lift up to 20 pounds; ability to bend, stoop, reach and grasp as required to perform responsibilities; ability to drive motor vehicle; and ability to work on the computer for long periods of time.
Work Environment:Work performed in an office environment.
