The primary purpose of your job position is to handle the reception desk duties of the facility in accordance with current acceptable customer service policies and procedures relating to the long-term care operation in a pleasant and helpful manner. Other specific job duties not related to the reception desk and customer service may also be directed by the Administration.
Delegation of AuthorityAs Receptionist, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Duties and Responsibilities Administrative Functions- Assist in implementing the day-to-day administrative functions of the facility.
- Greet all entering visitors in a pleasant manner, offering and providing assistance with a helpful and kind disposition.
- Answer and route all in-coming phone calls to the facility in a pleasant and helpful manner; take and deliver messages in a timely manner to Dept heads for their dept personnel.
- Handle Accounts Payable, if assigned, and any other specified duties as outlined in facility policies and procedures and directed by the Administrator.
- Handle Personnel functions as specifically assigned, and any other specified duties as outlined in facility policies and procedures and directed by the Administrator.
- Handle Safety Team functions and documentation requirements, if assigned, and any other specified duties as outlined in facility policies and procedures and directed by the Administrator.
- Handle computer and software/hardware responsibilities regarding facility systems as assigned; perform functions of computer/data processor as necessary.
- Make written and oral reports/recommendations concerning assigned functions.
- Ensure all required paperwork is properly completed and maintained.
- Assist in the implementation of changes in systems as necessary or directed.
- Perform secretarial functions as necessary or directed for all facility departments.
- Attend and participate in workshops, seminars, etc. as directed, to keep abreast of current changes in the long-term care field as directed.
- Create and maintain an atmosphere of warmth, personal interest, and positive emphasis, as well as a calm environment throughout the facility.
- Attend and participate in annual OSHA and CDC in-service training programs for hazard communication, TB management, and blood borne pathogens as well as all other mandatory in-services and trainings.
- Follow established safety regulations, to include fire protection/prevention, smoking regulations, infection control, etc.
- Follow established ergonomics policies and procedures governing lifting techniques, repetitive tasks, and the use of safety equipment and supplies to prevent work-related injuries and illnesses.
- Ensure that an adequate supply of office supplies and equipment are on hand to meet the day-to-day operational needs of the facility as directed.
- Report equipment and office supply needs.
- Request repairs for office equipment as necessary.
- Maintain confidentiality of all patient information.
- Follow facility's established patient rights and privacy procedures.
- Ensure that the patient's rights and employee rights to fair and equitable treatment, self- determination, individuality, privacy, property and civil rights, are well established and maintained at all times.
- Works in office areas as well as throughout the facility, moving intermittently during working hours.
- Is subject to frequent interruptions under all conditions/circumstances, involving patients, family members, personnel, visitors, government agencies/personnel, etc.
- Is subject to hostile and emotionally upset patients, family members, personnel, and visitors.
- Works beyond normal working hours, on weekends and holidays, and call-back situations (severe weather, evacuation, post-disaster, etc.) when necessary.
