JOB SUMMARY

The BID COORDINATOR I is responsible for coordinating, managing, and supporting the full lifecycle of federal solicitation and proposal activities to support organizational growth and government contracting success. This role plays a critical part in identifying federal business opportunities, analyzing solicitation requirements, coordinating proposal development activities, and ensuring compliant, accurate, and timely proposal submissions.

JOB DUTIES AND RESPONSIBILITIES
  • PROPOSAL DEVELOPMENT:
    Create and prepare proposals for consideration in response to identified federal business opportunities. Analyze solicitation requirements and coordinate with technical and operational teams to develop compliant, accurate, and complete proposal packages.
  • COMPETITIVE BIDDING AND RFP MANAGEMENT:
    Send out Requests for Proposals (RFPs) for competitive bidding to qualified subcontractors and vendors. Track responses and deadlines to ensure a full, competitive pool of quotes for each solicitation.
  • QUOTE REVIEW AND COMPLIANCE:
    Ensure quotes received from vendors and subcontractors are fair and reasonable, submitted in a timely manner, include Patriot fees as required per contract agreements, and are formatted in accordance with FRMS requirements.
  • AWARD AND CONTRACT EXECUTION:
    Send out awarded proposals to selected vendors and subcontractors. Engage contracts and coordinate with relevant stakeholders through contract execution.
  • COLLABORATION:

    Attend internal meetings, pre-proposal conferences, and industry events as needed to support proposal and contract activities. Collaborate with operations, finance, legal, and support teams to ensure proposals and contracts align with organizational and contractual requirements. Provide input for cross-functional initiatives and process improvements that enhance proposal quality and turnaround.
  • PERFORMS OTHER ESSENTIAL DUTIES AS ASSIGNED.
KNOWLEDGE,

SKILLS AND ABILITIES
  • Knowledge of federal procurement regulations, solicitation processes, and government contracting requirements.
  • Knowledge of proposal coordination methodologies, compliance standards, and submission procedures.
  • Knowledge of competitive bidding practices, vendor quote evaluation, and contract fee structures.
  • Knowledge of project management principles and workflow coordination processes.
  • Knowledge of proposal documentation management and quality assurance procedures.
  • Ability to manage multiple concurrent solicitations and proposal deadlines in a fast-paced environment.
  • Ability to interpret complex procurement requirements and communicate them effectively to cross-functional teams.
  • Ability to collaborate effectively with technical teams, leadership, legal, finance, and external stakeholders.
  • Ability to maintain accuracy and attention to detail under tight deadlines.
  • Ability to adapt quickly to changing priorities and procurement requirements.
  • Ability to work independently while contributing to a collaborative team environment.
  • Ability to identify process improvement opportunities and support operational efficiency initiatives.
  • Ability to maintain confidentiality and exercise sound professional judgment.
  • Skilled in coordinating multiple tasks and priorities simultaneously.
  • Skilled in critical and analytical thinking.
  • Skilled in documenting quality control.
  • Skilled in reviewing and interpreting federal solicitation documents and compliance requirements.
MINIMUM QUALIFICATIONS

High school diploma or equivalent

One (1) to two (2) years of experience in administrative support, proposal coordination, procurement support, or a related field.

PREFERRED QUALIFICATIONS

Associate or Bachelor’s degree in Business Administration, Procurement, or a related field.

SPECIAL QUALIFICATIONS

Must pass a criminal background check

WORK CONDITIONS
