Job Description

Position Title: Secretary/Receptionist (High School)

Contract: 220 days (Present assignment)

Hours:

7.5 hours per day (30 minute lunch excluded; 2 paid breaks – 15 minutes each)

Salary: Per Classified Salary Schedule

Primary Function: General office procedures, reception duties, ESchool demographic maintenance, student discipline records, student attendance from teacher grade books (TAC), processing attendance documents (teacher slips, doctor notes, nurse notes, check‑in/check‑out sheets), notifying parents/guardians of absences, and notifying officials as required by district, state, and federal laws. Assist and backup the high school registrar with enrolling and withdrawing students.

Key Responsibilities:

  • All reception duties assigned by building administrators.
  • Attendance data entry, letters, reports, and related tasks.
  • Annual verification of demographics.
  • Assist the registrar as needed with student enrollment transactions.
  • Verify high school attendance cycle reports.
  • Assist with back‑to‑school preparations and end‑of‑year preparations each year.

Special Assignments: Multiple duties/responsibilities as needed by the district, staff, parents/guardians, and students.

Organizational Relationships:

  • Superintendent of schools
  • High school principal
  • Student data supervisor

Qualifications:

  • Confidentiality and professionalism.
  • Efficient time management.
  • Multi‑task capability.
  • Stress control and conflict management.
  • Team participant.
  • Willingness to receive training as appropriate.
  • Basic computer knowledge (minimum).
  • Experience with multiple software and database systems.

Employee Evaluation:

  • The Accounts Payable/Benefits will be evaluated by the Business Manager in accordance with state law, district policy, and the approved position guide.
  • The Superintendent of schools will evaluate overall district responsibilities.
  • The high school principal will evaluate overall high school responsibilities.
  • The student data supervisor will evaluate overall database responsibilities (ESchool, TRIAND, Thrillshare Call System, Cognos, Centigix, etc.).
