Salary Range: $15.00 To $16.55 Hourly

Job Summary:

The Procedure Scheduler is responsible for coordinating and securing insurance authorizations and scheduling for office visits, imaging studies, and hospital-based procedures. This position works closely with clinical staff and external facilities to ensure seamless and timely access to care for patients.

Essential Duties and Responsibilities:

  • Obtain insurance authorization for office, imaging, and hospital procedures,
  • Ensures coding with correct CPT codes and diagnosis codes,
  • Maintain appropriate documentation in Epic regarding authorizations and scheduling,
  • Schedule office visits, imaging exams, and hospital-based procedures,
  • Create and maintain the procedure log,
  • Coordinate scheduling with hospitals and imaging centers, manage changes as needed,
  • Contact patients with appointment details and document communications in the patient chart,
  • Notify nurses and providers of authorization denials,
  • Assists intake/referral specialist at health center with referrals as time allows and assistance is needed.
  • Assists patient registration and patient check out as needed,
  • Maintain compliance with the organization’s confidentiality policy in accordance to the Health Insurance Portability and Accountability Act (HIPAA).
  • Maintain compliance with all company policies and procedures
  • Other duties as assigned.

Education and/or Work Experience Requirements:

  • Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers
  • Must be able to work under pressure and meet deadlines while maintaining a positive attitude and providing exemplary customer service
  • Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
  • 2+ years of experience in a health care setting preferred.
  • High school diploma or GED required



Physical Requirements /

Working Conditions:

  • Position requires manual dexterity for operating standard office equipment.
  • Position requires the ability to maintain concentration and attention to detail for long periods of time in order to maintain accurate records pertaining to patient and/or account information.
