Conference & Events Manager
Evotec is seeking a highly motivated and dedicated Conference & Events Manager (all genders) Full-time and permanent to lead the planning, execution, and continuous improvement of Evotec's global conference and events portfolio. This role plays a key part in supporting business objectives, strengthening customer relationships, enhancing brand visibility, and generating commercial opportunities through impactful events.
This is a hands-on position with end-to-end responsibility for conferences, trade shows, customer events, executive round tables, workshops, and other strategic engagement formats. You will work closely with Marketing, Business Development, Scientific Leadership, Operations, and Key Account Management in a highly collaborative and international environment.
Responsibilities- Plan, coordinate, and execute Evotec's participation in global conferences, trade shows, and strategic events
- Manage multiple projects simultaneously, ensuring timely delivery, budget adherence, and operational excellence
- Coordinate all aspects of event execution including logistics, registrations, vendor management, promotional materials, and stakeholder communication
- Drive continuous improvement of conference and event processes
- Support the development and implementation of Evotec's annual conference and events strategy
- Evaluate conference and sponsorship opportunities and provide recommendations based on strategic fit and business objectives
- Plan and execute bespoke customer events, executive round tables, advisory boards, and thought leadership activities
- Collaborate with senior leaders, customers, partners, scientific advisors, and Key Opinion Leaders (KOLs) to deliver impactful experiences
- Act as the central point of coordination between Marketing, Business Development, Scientific Leadership, Operations, Key Account Management, and external partners
- Support speakers, presenters, and participants throughout event preparation and execution
- Ensure alignment on objectives, target audiences, messaging, and success metrics
- Manage event budgets and monitor expenditures
- Negotiate and manage relationships with conference organizers, agencies, venues, and suppliers
- Ensure compliance with procurement processes and internal policies
- Track and analyze event performance against KPIs (e.g., customer engagement, meetings, lead generation, pipeline contribution, ROI)
- Prepare post-event reports and provide recommendations for future participation and investment decisions
- Use data and insights to continuously optimize Evotec's event portfolio
- Ensure all events and materials align with Evotec's corporate brand and messaging
- Collaborate with Marketing teams to maximize campaigns, content, communications, and thought leadership opportunities around events
- Act as an internal expert on events as a strategic marketing and business development channel
- Bachelor's degree in Marketing, Communications, Business Administration, Event Management, Life Sciences, or a related field
- Minimum 5 years of experience in conference management, event marketing, or a similar role, preferably in a B2B environment
- Proven experience managing complex international conferences and events
- Experience working with senior executives, customers, and external stakeholders
- Experience in life sciences, biotechnology, pharmaceuticals, or healthcare is a plus
- Strong project management and organizational skills
- Excellent communication and stakeholder management abilities
- Strong analytical mindset with the ability to translate data into actionable insights
- Commercial awareness and customer-focused thinking
- Proactive, solution-oriented, and accountable working style
- Ability to manage multiple priorities in a fast-paced environment
- Advanced proficiency in Microsoft Office, especially PowerPoint and Excel
- Experience with CRM systems, event platforms, and project management tools (e.g., Smartsheet) is a plus
- Fluent in English
- Willingness to travel internationally as required
