Job Summary
Provide advanced administrative and operational support to the Assistant Vice President for Student Success and Transitions and support initiatives connected to New Student, Transition, and Family Programs within the Division of Student Affairs. Coordinate executive-level scheduling, travel, financial reconciliation, office operations, communications, and administrative processes to support divisional priorities, student success initiatives, orientation and transition programs, and departmental operations. Serve as a primary liaison for internal and external stakeholders and assist with ensuring operational efficiency across assigned functional areas.
The annual salary for this position ranges from $40,000 to $50,000. The final offer will be based on the candidate’s experience, qualifications, and overall fit for the role.
Essential Duties And Responsibilities- Oversee the daily office operations of a business or academic unit.
- Serve as a liaison and act on behalf of administrator in dealings with internal and external clients.
- Serve as the point of contact for the office.
- Perform a variety of administrative duties for the department.
- Answer questions and resolve problems regarding the business unit.
- Ensure compliance with internal and external policies and procedures.
- Review and approve financial transactions including purchase orders, vouchers, deposits, transfer of funds and pro card transactions.
- May perform monthly reconciliation of pro cards.
- Coordinate travel arrangements and prepare expense vouchers and expense reimbursements. May track and maintain departmental financial accounts (i.e., cost centers, grants, etc.).
- Process and maintain various personnel records (e.g., appointments, change of status, leave requests, terminations, etc.).
- May act as departmental timekeeper.
- Compose correspondence on behalf of supervisor or under own signature.
- Assist with meeting logistics including room scheduling, ordering of food, arranging for accommodations such as chairs, tables, marker boards, AV equipment, etc.
- May direct the work of other clerical staff by assigning duties.
- Perform other duties assigned.
- High school diploma or equivalent.
- Four (4) years of experience providing secretarial or administrative support in increasingly demanding positions.
- Bachelor’s degree in Communication, General Studies, or Business. Experience with department budgets.
- Experience in processing basic financial transactions.
- Experience with People Soft.
- Experience with University of Texas at Arlington policies and procedures.
Skills and Abilities
- Ability to utilize Microsoft Office Suite.
- Knowledge of standard office practices and procedures.
- Ability to maintain accurate records.
- Skilled in written and oral communication skills.
- Ability to independently resolve routine and complex problems and make decisions.
- Ability to draft, read and comprehend a variety of correspondence.
- Ability to manage time effectively and prioritize work.
- Skilled in preparing clear and concise reports, correspondence, and other written materials.
- Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.
- Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
- Skilled in applying logical thinking to solve problems or accomplish tasks.
- Understanding, interpreting, and communicating complicated policies, procedures, and protocols.
