* Infrequent travel (i.e., annually) for activities such as job skills training or participating in institutional and client meetings and conferences.

* Based on funding availability, the position is available through 08/31/2027.

Salary Salary is commensurate based on qualifications and relevant experience up to $37,885 Pay Basis Bi-weekly

Job Summary

The Administrative Assistant I performs stormwater licensing and permitting work under the Texas Pollutant Discharge Elimination System (TPDES). Receives and reviews permit applications; ensures compliance with applicable policies, administrative codes, and statutes; communicates with external and internal customers; and approves permits.

Essential Duties and Responsibilities

* Addresses and resolves routine problems and provides customer service to the regulated community, consultants, and general public; answers questions about completing and submitting applications; supplies information regarding permit processing, policies, and procedures; and supports and resolves customer inquiries.

* Serves as a liaison between the business unit and the external client.

* Reviews applications for stormwater general permits, under the TPDES program for completeness, accuracy, and compliance with all applicable rules and established division procedures and guidelines; inputs permit applications and required technical data into appropriate computer applications and systems with minimal errors.

* Locates and interprets information from databases and systems.

* Accesses customer account information via computer systems and makes entries to resolve problems.

* Performs administrative duties for the Stormwater Processing Center; communicates and coordinates with other Texas Commission on Environmental Quality (TCEQ) divisions appropriately based on the functions, programs and policies of the TCEQ.

* Trains and mentors staff members as needed.

* Participates in TCEQ Central Registry maintenance and data cleanup.

* Tracks workload and productivity for a variety of tasks and provides monthly reports to management as applicable; assists in updating the Stormwater Processing Center's procedures and practices.

* Performs other duties assigned.

Minimum Qualifications

* High school diploma or equivalent and a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.

Preferred Qualifications

* Bachelor's degree with one (1) year complex administrative support experience or high school diploma or equivalent with five (5) years of increasingly responsible administrative, secretarial and clerical experience.

* Experience answering, screening, and routing phone calls and emails; helping customers with technical questions; data entry and preparing correspondence, reports, forms, and other documents.

Knowledge,

Skills and Abilities

* Knowledge of office practices and administrative procedures; computer usage; customer service principles; business terminology; spelling; and grammar. Solid working database entry ability with capacity to learn the functions, programs and policies of the TCEQ.

* Skill in communicating effectively with internal and external customers verbally and in writing; comparing data and information to determine discrepancies; maintaining records in accordance with institutional paper and electronic file management requirements; documenting work accurately; troubleshooting problems; and resolving customer inquiries in accordance with institutional standard operating procedure.

* Ability to sit, stand, bend, lift 10 lbs. of paper/files, walk, and twist upper body; to move in and around personal work space and to and from other areas of the office or building using wheelchair or other aid, if necessary, to attend meetings, deliver/retrieve materials, or other activities outside of personal work space; to learn, remember, and integrate rules, policies, or practices guiding the performance of an activity;

to communicate verbally with clients/customers; to gather information and explain policies and procedures; to record information frequently such as phone messages, suspense/tracking records, log entries, or other written records using handwritten or mechanical means; and to read and write with attention to detail.

* Job functions performed indoors in usual office environment.

* Job activities include but not limited to sitting, standing, lifting, and carrying batches of paper up to 10 lbs.
