Job Summary

The Administrative Assistant II serves as a vital member of the Veteran Business Outreach Center to provide skilled administrative support and routine administrative tasks, including answering phones and routing calls, managing mail, maintaining files, coordinating events and travel, guest parking, room reservations, procurement, supporting the advising team, and performing other general administrative duties as assigned.

Essential Duties and Responsibilities
  • Oversee the daily office operations of a business or academic unit, acting as a liaison and point of contact for internal and external clients.
  • Perform a variety of administrative duties, answering phone and email queries, routing calls, managing client intake steps, coordinating appointments, and maintaining department files while ensuring compliance with internal and external policies and procedures.
  • Review and approve financial transactions, including purchase orders, vouchers, deposits, transfer of funds, and procard transactions; coordinate travel arrangements, prepare expense vouchers and reimbursements, and track departmental financial accounts (cost centers, grants, etc.).
  • Compose correspondence on behalf of the supervisor or under own signature, and assist in preparing reports on program status, proposals, budgets, and other required documents.
  • Process and maintain personnel records (appointments, status changes, leave requests, terminations) and act as the departmental timekeeper.
  • Maintain calendar of events, arrange schedules and meetings, and coordinate logistics such as room scheduling, food ordering, seating arrangements, and AV equipment.
  • Assist in creating and distributing program materials, event flyers, forms, and general correspondence; publish and maintain the department website, newsletter, and social media channels.
  • Perform other duties as assigned.
Minimum Qualifications
  • High school diploma or equivalent.
  • Minimum of four (4) years of experience providing secretarial or administrative support in increasingly demanding positions.
  • Equivalent mix of education and relevant experience in similar roles may be accepted.
Preferred Qualifications
  • Bachelor’s degree in communication, general studies, business, or a related field.
  • Experience with department budgets.
  • Experience processing basic financial transactions.
  • Experience with People Soft.
  • Experience with University of Texas at Arlington policies and procedures.
Knowledge, Skills, and Abilities
  • Ability to utilize Microsoft Office Suite.
  • Knowledge of standard office practices and procedures; ability to maintain accurate records.
  • Skilled in written and oral communication.
  • Ability to independently resolve routine and complex problems and make decisions.
  • Ability to draft, read, and comprehend a variety of correspondence.
  • Ability to manage time effectively and prioritize work.
  • Skilled in preparing clear and concise reports, correspondence, and other written materials.
  • Skilled in conflict resolution, using tact, discretion, initiative, and independent judgment within established guidelines.
  • Skilled in researching, compiling, and summarizing a variety of informational, financial, and statistical data and materials.
  • Skilled in applying logical thinking to solve problems or accomplish tasks.
  • Understanding, interpreting, and communicating complicated policies, procedures, and protocols.
Other Requirements

• This position may require access to critical infrastructure as defined by Section 113.001(2) of the Texas Business and Commerce Code; if so, the employee must maintain security or integrity as set forth in Texas Executive Order GA-48. Access to critical infrastructure also requires a routine background check.
