Summary
This key position supports delivering Quality to the entire organization. The selected candidate will be responsible for maintaining the CAE USA Process Asset Libraries by improving, releasing, and canceling processes and supporting the Quality and Continuous Improvement Organization in accordance with corporate strategies and objectives.
Essential Duties and Responsibilities- Works with Process Owners as the initial PAL point of contact to maintain the content, authorization, and suitability of the process library.
- Protects the library from loss of integrity, unauthorized changes, or improper use.
- Ensures availability of the process library for use.
- Removes obsolete process documents from the library to prevent unintended use.
- Maintains version control of master document files.
- Ensures only authorized new documents, document changes, or cancellations are published to the PAL.
- Ensures proper completion of new, change, release, and cancellation requests.
- Maintains document revisions and releases process documents.
- Checks process document submittals for adherence to required templates.
- Follows and assigns document numbering conventions to new process documents using the required naming convention guidelines.
- Monitors workflow from submittal to publishing, notification, and closure.
- Maintains PAL-Admin templates, tools, work instructions, and processes, and completes an annual review of these tools.
- Maintains the list of business process owners for each organizational function.
- Maintains PAL-Admin change control records.
- Provides overall process guidance and education to users of the PAL change process.
- Establishes a tracking system to ensure required maintenance reviews/updates are accomplished.
- Provides administrative support during Internal and External Audits.
- Maintains the required cadence of metrics and data reporting/pulling when required.
- Provides web-based content administration for the Quality Assurance organization.
- Maintains flexibility to support ad hoc administrative tasks for the Quality and Continuous Improvement Organization.
- Associate’s degree or equivalent work experience.
- Experience with AS9100 preferred, but not required.
- Highly proficient with Microsoft Office (Word, Excel, PowerPoint, Visio, Teams, SharePoint, Outlook).
- Due to U.S. Government contract requirements, only U.S. citizens are eligible for this role.
- Experience applying administrative and organized approaches to unstructured situations.
- Excellent verbal and written communication skills and problem‑solving abilities.
- Must exhibit a high level of motivation, sense of urgency, attention to detail and energetic approach to job duties and requirements to complete work in a timely manner.
Must comply with all company security and data protection / usage policies and procedures. Personally responsible for proper marking and handling of all information and materials, in any form. Shall not divulge any information, or afford access, to other employees not having a need‑to‑know. Shall not divulge information outside company without management approval. All government and proprietary information will be accessed and stored electronically on company‑provided resources.
- Incumbent must be eligible for DoD Personal Security Clearance.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
