Job Summary
The Customer Service Representative provides an exceptional experience performing a variety of administrative tasks; including answering phones, addressing student concerns, and providing guidance and assistance on a wide range of issues including Financial Aid, Admissions, Registration, Student Accounts and Registrar.
Location:
Arlington.
Schedule:
Monday – Friday, 8:00am – 5:00pm.
- Answer incoming calls and provide excellent service with great attention to detail.
- Utilize tools, guides, and resources and adhere to department and university policies and procedures.
- Provide accurate, clear, and concise information to students, parents, and campus partners consistently.
- Multitask by talking and typing simultaneously while managing call time during peak and low volume times.
- Perform work in one of the following areas:
- Financial Aid – answer calls and emails, provide guidance on grants, aid payments, eligibility, account balances, and verification processes; read and understand financial accounts.
- Admissions – provide updates on admission application status, transcripts, residency, transfer credit evaluation, etc.; communicate with management about holds, errors, transcript orders.
- Student Accounts and Registrar – analyze accounts, explain balances, refunds, payments, verify financial aid and third‑party payments; communicate with management regarding past‑due balances and payment plans.
- Document every interaction in MyMav according to department guidelines.
- Perform other duties assigned.
- High School diploma.
- Three years of customer service experience or equivalent combination of experience and education.
- Two years of general office or administrative experience.
- Higher education and/or contact center experience.
- Bi‑lingual (Spanish and English).
- Experience/knowledge working with an integrated student information system such as People Soft.
- Excellent communication skills.
- Professional email communication.
- Ability to type and talk simultaneously.
- Basic knowledge of MS Office (Outlook, Word, Excel).
- Ability to use office equipment and contact center software, softphone, headset, copier.
