Job Summary

The Customer Service Representative provides an exceptional experience performing a variety of administrative tasks; including answering phones, addressing student concerns, and providing guidance and assistance on a wide range of issues including Financial Aid, Admissions, Registration, Student Accounts and Registrar.

Location:

Arlington.

Schedule:

Monday – Friday, 8:00am – 5:00pm.

Essential Duties and Responsibilities
  • Answer incoming calls and provide excellent service with great attention to detail.
  • Utilize tools, guides, and resources and adhere to department and university policies and procedures.
  • Provide accurate, clear, and concise information to students, parents, and campus partners consistently.
  • Multitask by talking and typing simultaneously while managing call time during peak and low volume times.
  • Perform work in one of the following areas:
  • Financial Aid – answer calls and emails, provide guidance on grants, aid payments, eligibility, account balances, and verification processes; read and understand financial accounts.
  • Admissions – provide updates on admission application status, transcripts, residency, transfer credit evaluation, etc.; communicate with management about holds, errors, transcript orders.
  • Student Accounts and Registrar – analyze accounts, explain balances, refunds, payments, verify financial aid and third‑party payments; communicate with management regarding past‑due balances and payment plans.
  • Document every interaction in MyMav according to department guidelines.
  • Perform other duties assigned.
Minimum Qualifications
  • High School diploma.
  • Three years of customer service experience or equivalent combination of experience and education.
Preferred Qualifications
  • Two years of general office or administrative experience.
  • Higher education and/or contact center experience.
  • Bi‑lingual (Spanish and English).
  • Experience/knowledge working with an integrated student information system such as People Soft.
Knowledge, Skills, and Abilities
  • Excellent communication skills.
  • Professional email communication.
  • Ability to type and talk simultaneously.
  • Basic knowledge of MS Office (Outlook, Word, Excel).
  • Ability to use office equipment and contact center software, softphone, headset, copier.
