Position SummaryThe receptionist serves as the first point of contact for visitors and callers, ensuring a welcoming environment and efficient communication. This role involves administrative and clerical tasks to support the daily operations of the organization.
Key Responsibilities Front Desk Management:- Greet and welcome visitors in a professional and friendly manner.
- Answer and direct phone calls promptly and accurately.
- Manage the reception area to ensure it is tidy, organized, and presentable.
- Provide visitors with relevant information or direct them to the appropriate personnel.
- Maintain visitor logs and issue visitor badges, if applicable.
- Schedule and manage appointments, meetings, or conference room bookings.
- Handle incoming and outgoing mail, courier services, and deliveries.
- Maintain and update contact lists, databases, and other office records.
- Prepare basic reports or correspondence as needed.
- Address inquiries or complaints from clients and elevate issues when necessary.
- Provide information about the organization’s services, products, or policies.
- Operate office equipment, including fax machines, copiers, and computers.
- Assist in inventory management for office supplies, ensuring adequate stock levels.
- Provide general administrative support to other departments as required.
- Monitor access to the premises and ensure adherence to visitor policies.
- Report any security or maintenance issues to the appropriate personnel.
Educational Requirements:
- High School Diploma or Equivalent:
Typically the minimum educational requirement. - Additional Certifications (Optional):
- Certificate in office administration, customer service, or a related field.
- Proficiency in specific software (e.g., Microsoft Office, scheduling tools).

- Previous experience as a receptionist, front desk officer, or in a customer-facing role.
- Knowledge of specific industry terminology or procedures (e.g., healthcare, legal)
Previous experience in a customer service or administrative role is often advantageous.
