Under general supervision and according to established policies and procedures, the Referral Coordinator will be responsible for day-to-day administrative functions in support of efficient and effective patient care as it pertains to the referral management process. Individuals will practice exceptional customer service and communicate and coordinate information in a knowledgeable and courteous manner with referring providers, staff, patients and families. Maintains confidentiality at all times.
ESSENTIALJOB RESPONSIBILITIES
- Maintains EMR/PM and referral database by entering new and updated patient and account information.
- Prepares source data for computer entry by compiling and sorting information.
- Establishes entry priorities.
- Processes patient and account source documents by reviewing data for deficiencies.
- Enters patient and account data by inputting alphabetic and numeric information on keyboard or optical scanner according to screen format.
- Maintains data entry requirements by following data program techniques and procedures.
- Verifies entered patient data by reviewing, correcting, deleting, or reentering data.
- Combines data from multiple systems when account information is incomplete.
- Purges files to eliminate duplication of data.
- Direct communication with Wellmed regarding referrals that are not tier one referrals.
- Communicate with UPNT's medical assistant and/or triage nurses to work patient in for stat referrals.
- Communicate scheduling errors with department manager and supervisor.
- Oversee referrals pool and Microsoft office eFax box.
- Receive inbound referral and escalation calls regarding referrals.
- Maintains patient confidence and protects operations by keeping patient and referral information confidential.
- Contributes to team effort by accomplishing related results as needed.
- Maintains accuracy and productivity levels as established by department standards.
- Performs, organizes, and streamlines operational tasks to reduce the potential for errors.
- Provide weekly referral counts and stats.
- Resolve deficiencies by using standard procedures or researching incomplete documents by contacting the referring provider’s office.
- Maintains patient safety and confidentiality at all times.
- Travels as required.
- All other duties as assigned by the Director of Operations Support.
- Minimum 2-3 years of experience in a professional environment, preferably in a medical or insurance setting.
- Knowledge of medical practice protocols related to scheduling appointments.
- Knowledge of computerized scheduling systems.
- Knowledge of patient service principles and techniques.
- Exceptional patient service and phone etiquette.
- Ability to maintain effective and organized systems to ensure timely patient flow.
- Working knowledge of medical terminology.
- Computer and multi-line proficiency and prior experience with Electronic Medical Records preferred.
- Ability to work in a fast-paced environment.
- Ability to analyze situations and respond appropriately.
- Requires occasional bending/carrying items weighing up to 30 pounds.
- Adequate physical ability including sufficient manual dexterity to perform the requisite healthcare services including computer entry.
- High school diploma or GED
