Position: Program Specialist for URD (Dallas/Fort Worth)

Reporting to the Associate Director for URD, the Program Specialist for URD will support Global Refuge in delivering high quality programs and services for Unaccompanied Refugee Minor (URM) children and families. The position will contribute to all internal quality control, onsite monitoring, desk monitoring, service evaluation, and case support activities.

Responsibilities / Duties
  • Provide support to the Associate Director for URD in oversight of program quality and quality assessment tools.
  • Data entry and maintenance of URD and URM case files in Global Refuge's internal case management system.
  • Conduct quarterly desk audits of URM case files and provide assessment and feedback to the Associate Director for URD.
  • Upload referral documents into the Global Refuge case management system and track compliance of programmatic outcomes.
  • Participate in communication with stakeholders regarding referrals and current children in care.
  • Assist with various programmatic communication processes and tools, including network communications, informational materials, and other communications and tools.
  • Assist the Associate Director of URD with the creation of training tools and resources.
  • Maintain up to date standard operating procedures and distribution lists.
  • Develop and maintain audit tools and resources to maintain programmatic compliance.
  • Identify data points needed from internal case management system and coordinate with data team to request changes or new reports, as needed.
  • Aid with monitoring preparation including policy and document collection, data collection and file reviews.
  • Aid with the annual monitoring visits by conducting personnel training log audits, client file audits, and data analysis to inform corrective action plans based on compliance information for previous fiscal year.
  • Maintain familiarity with Texas Department of Family and Protective Services (DFPS) and Office of Refugee Resettlement (ORR) policy.
  • Attend stakeholder meetings as requested by the Associate Director for URD.
  • Other duties as assigned.
Qualifications
  • Bachelor's degree in child welfare or human services program support or an equivalent combination of education and experience.
  • A minimum of three years of experience providing administrative/data entry support is preferred.
  • Proficient in web communications technology, including Microsoft Teams, Zoom, etc.
  • Experience working in a non-profit organization preferred.
  • Demonstrated willingness to explore and learn new technology (hardware and software) to increase the efficiency and effectiveness of the work.
  • Demonstrated organizational skills with meticulous attention to detail and ability to organize and prioritize, independently determining shifting priorities and responding appropriately.
  • Demonstrated strong project management skills and the ability to coordinate multiple projects simultaneously.
  • Excellent verbal and written communication skills, especially in proofing communications.
  • Proven ability to exercise utmost tact and diplomacy when dealing with confidential issues and ability to discern confidential issues.
  • Commitment to Global Refuge's core mission and values and an ability to model those values in relationship with colleagues and partners; commitment to empowering refugees and migrants.

Position Requirements
  • Ability and willingness to travel to sites and attend relevant conferences up to 10%.
  • Valid driver's license required.
  • Must be able to pass an FBI background check as well as a CA/N check for every state resided in for the last five years.
