DescriptionThe Senior Accounts Receivable Associate is responsible for ensuring customer transactions are recorded accurately and in a timely manner while maintaining customer accounts in good standing. This role supports the verification and posting of payments, reconciliation of open invoices, and resolution of account discrepancies. The position is highly customer-service focused and requires close collaboration with internal teams, external vendors, and customers.
Additionally, the role is responsible for supporting month-end close activities, including reviewing aging reports, preparing bad debt allowance recommendations, reconciling customer accounts, and maintaining related balance sheet accounts.
- 3+ years of accounting and/or collections experience
- Bachelor’s degree in Accounting, Finance, or similar major strongly preferred or equivalent experience
- Proficient in Microsoft Excel, advanced experience a plus
- Microsoft Dynamics AX or Dynamics 365 experience a plus
- Perform proactive account reconciliations, analyze account activity, and identify and resolve discrepancies
- Evaluate current reconciliation processes, identify opportunities for improvement, and implement corrective actions where needed
- Maintain complete and accurate account documentation and ensure records are updated as process enhancements are introduced
- Communicate effectively with customers and internal stakeholders in a professional, timely, and accurate manner while providing a strong customer service experience
- Execute collection activities through phone and email outreach in accordance with established company policies
- Research and resolve customer billing and invoice disputes
- Maintain accurate customer contact information and account records within Microsoft Dynamics AX
- Partner with third‑party warehouse providers to address and resolve invoice issues, credits, and chargeback concerns while communicating aging reports and payment activity updates to internal management teams
- Collaborate with operations, technology teams, and warehouse partners to investigate and resolve invoice transmission issues and return‑related discrepancies
- Monitor and resolve accounts receivable suspense balances and unapplied cash transactions
- Establish and maintain customer and vendor account records, including completing customer and vendor portal setup requirements
- Set up and align customer accounts with distributor relationships and process invoices that have been placed on hold
- Perform daily reconciliation of International Cash Receipts reports and complete required month‑end review and sign‑off procedures
- Oversee international withholding tax activities by:
- Ensuring country‑specific documentation requirements are completed accurately and within required time frames
- Preparing, organizing, and electronically maintaining required tax documentation
- Updating procedures and process documentation as necessary
- Distributing applicable withholding tax forms to customers and ensuring required documentation accompanies invoice submissions
- Work closely with Contract Management teams to resolve outstanding matters related to domestic and international agreements
- Obtain supporting documentation from customers related to chargebacks and secure necessary approvals from sales teams for credit requests
- Generate and process invoices, rebates, credit memos, and debit memos within Microsoft Dynamics AX
- Organize and maintain customer account documentation and correspondence in compliance with company document retention standards
- Process manual check deposits and ensure accurate recording of related transactions
- Compile and prepare documentation required to support annual audit processes
- Process customer refunds, customer/vendor transfer requests, and assist with preparing customer write‑off journal entries
