Role OverviewWe are seeking a highly organized and proactive Office Administrator & Legal Support Specialist to support daily office operations while assisting with detail-oriented legal and administrative tasks. This role is ideal for someone with an administrative or paralegal-style background who enjoys maintaining a professional office environment, supporting compliance-related processes, and ensuring documentation is handled accurately and on time.
Key Responsibilities Office Administration & Operations- Greet clients and visitors, ensuring a professional and welcoming office environment.
- Maintain office organization, including common areas and break rooms.
- Coordinate office deliveries, vendors, janitorial services, and supply inventory.
- Handle mail, scheduling support, and general administrative tasks.
- Print, scan, file, and prepare documents for meetings and internal use.
- Assist with the accurate and timely handling of legally sensitive documents, including 83(b) tax forms.
- Maintain organized digital filing systems and document tracking records.
- Provide administrative support for compliance-related and legal documentation as needed.
- Ensure attention to detail and confidentiality in all documentation processes.
- Previous experience in an office administrator, office assistant, or similar in-person support role.
- Strong organizational skills and high attention to detail.
- Commitment to maintaining a clean, well-organized office environment.
- Familiarity with legal or paralegal-style documentation processes.
- Professional communication skills and comfort interacting with clients and visitors.
- Experience working in a fast-paced startup environment.
- Paralegal training or relevant legal support experience.
- Experience handling tax-related or compliance documentation.
- Familiarity with ATS platforms (e.g., Ashby).
- Experience using tools such as Google Workspace, Slack, and Notion.
