Silo Smashers is seeking to hire an Administrative Support Specialist immediately to support our team.

Position Overview

The Administrative Support Specialist will provide comprehensive administrative and operational support to POD leadership, staff, and operational teams. The ideal candidate is highly organized, detail-oriented, and able to manage high-volume workloads in a mission-critical environment.

Duties and Responsibilities

Responsibilities include, but are not limited to:

  • Provide comprehensive administrative support to POD leadership, staff, and operational teams.
  • Manage scheduling, correspondence, document preparation, and data entry with a high level of accuracy and attention to detail.
  • Maintain organized digital and physical filing systems to support compliance requirements, audits, and operational readiness.
  • Assist in coordinating prisoner movement documentation, operational reports, and division-wide communications.
  • Communicate effectively with internal staff, partner agencies, contractors, and facility personnel.
  • Draft, edit, and distribute memoranda, reports, and operational updates as directed.
  • Support POD property management activities, including inventory tracking, equipment assignments, and asset documentation.
  • Assist with facility management tasks such as maintenance requests, workspace coordination, and ensuring operational areas remain functional and compliant.
  • Monitor office supplies, equipment, and facility needs; initiate orders or service requests as necessary.
  • Manage high-volume administrative workloads while meeting deadlines and maintaining accuracy.
  • Track action items, deliverables, and operational tasks to ensure timely completion.
  • Support process improvement efforts to enhance administrative and operational efficiency within the POD.
Qualifications
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated reliability, strong work ethic, and self-motivation.
  • Comfortable working in a high-volume, mission-critical operational setting.
  • Willingness to learn new systems, tools, and POD-specific processes.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation with a professional, mission-focused demeanor.
  • Experience or familiarity with property management and facility management tasks is preferred.
