About the Role:

The Development Operations Coordinator plays a critical role in supporting Spirit of America’s fundraising efforts by ensuring strong operational discipline, data integrity, and administrative excellence across the Development team. This position supports core development operations, maintains accurate donor records, assists with gift processing and reporting, and enables the team to operate efficiently, compliantly, and at scale.

The ideal candidate is highly organized, detail-oriented, service-minded, and comfortable working in a fast-paced, mission-driven environment where accuracy, follow-through, and discretion are essential.

Key Responsibilities

The Development Operations Coordinator will:

Development Operations & Administration

  • Provide day-to-day operational and administrative support to the Development team
  • Coordinate internal workflows related to fundraising activities, donor engagement, and reporting
  • Support scheduling, meeting preparation, materials assembly, and follow-up for development initiatives
  • Serve as a point of coordination between Development and Finance, Programs, and Operations teams as needed

Donor Data & CRM Management

  • Maintain accurate and up-to-date donor records in the CRM (e.g., Salesforce or equivalent)
  • Enter, update, and reconcile donor data, contact information, and engagement records
  • Support data hygiene, reporting accuracy, and adherence to internal data standards
  • Assist with donor segmentation, lists, and reports for campaigns, outreach, and stewardship

Gift Processing & Acknowledgements

  • Support timely and accurate processing of donations, pledges, and matching gifts in coordination with the Finance team
  • Prepare and track donor acknowledgements, receipts, and thank-you communications
  • Monitor gift documentation to ensure compliance with IRS and organizational requirements
  • Assist with year-end giving processes and donor reporting
  • Prepare routine development reports, dashboards, and summaries for internal stakeholders
  • Support tracking of fundraising progress against goals
  • Assist with donor stewardship activities, events, and special initiatives as needed
  • Help ensure development processes are documented, efficient, and consistently applied

Compliance & Continuous Improvement

  • Support adherence to internal controls, donor restrictions, and record-retention requirements
  • Identify opportunities to improve systems, workflows, and coordination within the Development team
  • Contribute to a culture of accountability, responsiveness, and mission-first service
