PositionSummary
The Facilities Manager located in Arlington is responsible for ensuring a well‑run, safe and efficient office environment for the organization. This role supervises a small team, manages vendor and facilities relationships, oversees office administration and procurement, and serves as the primary point of contact for day‑to‑day office operations, contributing to continuous improvement initiatives.
Key Responsibilities- Lead, coach and develop a team of 3 office services staff; set priorities, conduct regular 1:1s, perform performance reviews and manage staffing coverage and schedules.
- Oversee daily front‑desk, mail/courier, visitor management and office reception services to ensure a professional employee and guest experience.
- Manage facilities operations including office maintenance, small repairs, building services coordination, and office moves.
- Ability to respond 24/7 emergency alarm notifications as needed.
- Own office supplies and non‑capital procurement for the office; manage vendor relationships, obtain quotes, maintain purchase documentation and control budgets in coordination with Procurement.
- Develop and manage the facilities budget.
- Monitor expenses and identify cost‑saving opportunities.
- Manage relationships with third‑party service providers, including negotiating contracts and overseeing their performance.
- Source and manage contractors for major repairs or new installations.
- Responsible for oversight and coordination of break room management, office supply replenishment, and mail services, ensuring timely stocking, coffee preparation, food orders, inventory accuracy, and efficient package handling.
- Survey office space daily for furniture damage, non‑working appliances, burned‑out lights, etc.
- Issue security keys and set up parking accounts.
- Coordinate with IT for desktop/equipment provisioning, audio‑visual setup for meetings and events.
- Plan and support on‑site events, meetings and executive logistics (meeting room set‑up, catering).
- Ensure office health & safety, security access, and emergency preparedness; coordinate with building management and internal stakeholders.
- Develop and document standard operating procedures for office services; support cross‑training and succession planning.
- 8+ years’ experience in office services, facilities or administrative management; minimum 3 years in a supervisory role preferred.
- Strong vendor management and procurement experience; familiarity with purchasing processes.
- Comfortable coordinating with IT and other internal partners for endpoint/device provisioning and service requests.
- Proven ability to manage budgets and control costs.
- Excellent organizational, communication and interpersonal skills; customer‑service oriented.
- Competency with office productivity tools (email, calendar systems, Microsoft Office).
- Knowledge of office security, data handling and acceptable use practices is preferred.
- Bachelor’s degree preferred but not required; or equivalent work experience.
- People leadership: coaching, performance management, conflict resolution.
- Project and vendor management.
- Problem solving and decision making under time constraints.
- Attention to detail and process orientation.
- Confidentiality and professionalism when handling sensitive information.
- On‑site presence required during core business hours; manage team coverage to align with company office presence expectations.
- Occasional after‑hours or weekend coordination may be required for major events or emergency facility issues.
- Ability to lift 20-30 pounds.
