Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
This Executive Assistant position will report to and support both the Vice President of Corporate Communications & Brand and the Vice President of Corporate Affairs & International Communications. The role requires a team player with excellent interpersonal, communication skills, professionalism and proven ability to manage multiple tasks and prioritization. The position requires extensive administrative experience supporting executive‑level staff; the selected candidate will interface with company executives and external contacts.
The role is in person in Bethesda, MD, with periodic travel to Crystal City, VA.
- Maintains calendars to ensure efficiency and maximum use of leaders’ time, arranges meetings, makes travel arrangements and interfaces with internal and external customers.
- Works effectively with internal and external staff assistants to schedule meetings and coordinate communication between executives in a timely and efficient manner.
- Ability to multi‑task in a fast‑paced, deadline‑driven environment without constant oversight from leadership.
- Demonstrates initiative, discretion and tact in managing email, telephone calls and other requests, ensuring all correspondence is accurate, complete and properly handled.
- Supports and coordinates varied team meetings and offsite events, requiring strong organisational skills.
- Operates proactively to resolve conflicts or issues in advance, and quickly resolves unexpected conflicting meetings and schedules.
- Maintains an efficient work environment.
- Plans and executes logistics related to all actions on the Vice President’s calendars, including scheduling meetings and evaluating travel logistics while on travel.
- Coordinates with the Technical Assistant to prioritise and de‑conflict travel and meeting logistics.
- Prepares and processes expense reports and reconciles the business travel card in a timely manner.
- Submits invoices, manages all required event approvals, and handles planning for offsites and events.
- Processes all aspects of travel itineraries, security forms and clearances for domestic and international travel.
- Processes visitor requests for on‑site meetings.
- Retrieves, opens and distributes mail to the appropriate person.
- Orders and sets up catering/lunches for visitors.
- Coordinates special events when necessary.
- Manages various administrative tasks.
- 5+ years of experience as an administrative professional supporting senior leadership.
- Proficiency in calendar management, meeting coordination, travel arrangements, expense report preparation and interfacing with internal/external customers.
- Experience coordinating business rhythms, distribution lists and data‑collection activities.
- Skill in collaborating with internal and external staff assistants to schedule meetings and facilitate executive communication efficiently.
- Ability to multitask in fast‑paced, deadline‑driven environments with minimal supervision.
- Demonstrated initiative, discretion and tact when handling email, phone calls and other requests; ensures correspondence is accurate, complete and properly processed.
- Capability to support and organise diverse team meetings and off‑site events, requiring strong organisational abilities.
- Willingness to work on‑site full‑time.
- Proficient with Word, Excel, PowerPoint, Outlook, Concur and other standard office programmes.
- Exceptional verbal and written communication skills and attention to detail.
- Exceptional organisational skills and ability to follow through on actions per requested due dates and deadlines.
- Flexibility with work schedule and availability on weekends when needed.
- Excellent organisational, interpersonal, written and oral communication skills.
- Proactive in anticipating conflicts or issues, swiftly resolving unexpected scheduling conflicts.
- Knowledge of Lockheed Martin’s processes, procedures and internal systems used to provide administrative support to executives such as travel and expense reporting systems.
- Demonstrated ability to handle high‑paced environments.
- Demonstrated experience and history of strong performance in prior administrative roles supporting executive teams.

Work Schedule4×10 hour day, 3 days off per week
Pay RateThe annual base salary range for this position is $71,600 – $126,155, varying by state. The salary reflects scope and responsibilities of the position and other factors such as experience, education and market considerations.
