Role Overview
Full‑time Administrative Associate will support senior leaders and staff within the BBN Technologies Business Unit located in Arlington, VA. The role is on‑site and focuses on providing efficient administrative support, coordinating meetings, managing travel, and maintaining office resources while fostering a collaborative environment.
What You Will Do- Provide administrative support to the Business Unit senior leader and employees.
- Manage the senior leader’s calendar, including meetings, events, vacations, and travel.
- Answer routine questions regarding policies, procedures, expense reporting, and group meals.
- Coordinate internal meetings and functions, arrange visitor accommodations, and order catered food.
- Assist meetings by preparing slides or other materials for Zoom and/or in‑person formats.
- Create and process trip and expense reports for the leader and staff; reconcile vendor check reimbursements.
- Maintain logs and track ongoing travel claims.
- Assist with travel reservations, interview scheduling, and new employee onboarding requirements.
- Coordinate export paperwork and office moves as needed.
- Maintain company document repositories and order office supplies.
- Build rapport with other administrators; provide guidance on process improvements.
- Track support tickets and manage the company store relationship for staff.
- Support government property inventory, barcoding, tracking, and periodic audits.
- Perform other administrative and clerical duties as assigned.

QualificationsMust Have:
- AA/AS degree (or equivalent 2‑year post‑secondary training) with a minimum of 6years of relevant experience.
- Proficiency in Microsoft Office 365 (Word, PowerPoint, Excel).
- U.S. citizenship and the ability to obtain and maintain a Top Secret DoD security clearance.
- Eligibility to obtain any required Export Authorization.

- Experience processing travel and expense documents for leaders and team members.
- Experience coordinating site meetings and events.
