What We Can Achieve Together

The Philanthropy Learning Operations Specialist supports the Philanthropy Learning team within the Development division by coordinating learning operations (scheduling, logistics, communications, quality control, procurement, reporting and project management) for onsite, virtual, on-demand, and blended experiences.

The Philanthropy Learning Operations Specialist supports the Philanthropy Learning team’s strategic priorities by delivering day‑to‑day program operations, maintaining accurate data and reporting, improving processes, and providing responsive communications with internal partners and external stakeholders. The role supports smooth, inclusive delivery through strong logistics coordination, relationship management, and responsible, human‑centered use of AI tools.

Responsibilities
  • Manage end-to-end learning operations across multiple projects, coordinating schedules, dependencies, and deliverables.
  • Plan and deliver logistics for instructor‑led learning (in‑person and virtual), serving as the onsite/virtual logistics lead during live sessions.
  • Promote offerings; manage registration and participant communications; and triage inquiries with timely, customer‑service oriented responses.
  • Build and manage relationships with host sites and internal partners (e.g., IT, Office Services, and business‑unit office management) to ensure smooth delivery.
  • Support inclusive learning environments by coordinating accessibility accommodations and attendee needs (e.g., A/V, microphones, room setup, and dietary restrictions).
  • Support on‑demand learning development by learning required tools and co‑creating content with teammates.
  • Draft, maintain, and validate learning assets and offerings to ensure quality, accuracy, and alignment to intended outcomes.
  • Maintain learning systems and repositories (e.g., Learning Catalog, CONNECT, and Conservation Training.org) and curate existing resources.
  • Maintain data integrity and produce metrics and reports on offerings and engagement to support decision‑making.
  • Coordinate purchasing, invoices, and vendor contracting in alignment with organizational policies.
  • Serve as a resource for learning operations by resolving internal process and system issues, improving workflows and documentation, and pivoting quickly to meet changing needs.
  • Use AI tools responsibly and in a human‑centered way (e.g., protect confidential information, mitigate bias, and validate outputs) in alignment with organizational guidance.
