BBN's Collaborative Administration Group, called POST (Professional Office Support Team) has an opening for a Full time Administrative Associate who will provide administrative support for professional, technical and engineering co-workers at various levels. This is an on-site role, located in Arlington, Virginia.
What You Will Do:
- Provide administrative support to the Business Unit (BU) group's senior leader and employees who are primarily located or assigned to the BU in BBNs Arlington, VA office.
- Collaborate and support all other administrative teams within the organization when necessary.
- Maintain senior leader calendar for meetings, events, vacation, and travel.
- Answer routine questions on policies and procedures as it relates to the administrative performance, including expense reporting, group meals, etc.
- Coordinate internal meetings and functions, including arranging for visitors and ordering catered food.
- Assist in meetings - drive slides or other material for zoom and/or in-person formats.
- Create and process trip/expense reports for leader and staff, and vendor check reimbursements.
- Maintain log and track ongoing and outstanding travel claims.
- Arrange/assist with travel reservations and process expense reports.
- Coordinate with TA staff and or managers on interview schedules.
- Assist with new employee onboarding requirements for Business Unit employees in Rosslyn, as needed.
- Coordinate, assist and potentially generate export paperwork requirements as necessary.
- Assist Facilities in coordinating office moves within the Business Unit when required.
- Assist in maintaining company document repositories.
- Order office supplies and maintain stock.
- Coordinate and participate with other administrators across the business to build rapport and foster a collaborative environment.
- Provide support, guidance and input on evolving business changes, process improvements and the like.
- Assist Communications to track support tickets to include managing the company store relationship for Business Unit or Rosslyn staff.
- Support government property inventory barcoding, tracking, and periodic audits.
- Perform other administrative and clerical duties as assigned.

Qualifications You Must Have:
- AA/AS degree (or other 2-year post high school training) with a minimum of 6 years of relevant experience.
- Proficiency in Microsoft Office 365 applications to include Word, PowerPoint, and Excel.
- 6+ years of related experience.
- This position requires a U.S. Person who is eligible to obtain any required Export Authorization.

This position is onsite at our Arlington, VA, office and requires a security clearance.
