Administrative Assistant
We're looking for a highly organized and proactive Administrative Assistant to support senior leadership in a fast-paced, collaborative environment. In this role, you'll play a key part in keeping operations running smoothly—managing schedules, coordinating meetings, and ensuring seamless communication across multiple teams and organizations. WhatYou'll Do Executive & Team Support
- Provide day-to-day administrative support to senior leadership
- Coordinate activities and follow-ups across multiple teams and stakeholders
- Anticipate leadership needs and proactively prepare for upcoming priorities
- Manage complex, frequently changing calendars using Microsoft Outlook
- Coordinate meetings, conference rooms, and visitor schedules
- Communicate schedule changes quickly and effectively to all participants
- Organize and support team and leadership meetings
- Prepare agendas, attend meetings, and capture notes and action items
- Track and follow up on key deliverables and action items
- Arrange domestic and international travel, including logistics and itineraries
- Prepare and submit expense reports accurately and on time
- Anticipate potential travel challenges and plan alternatives
- Support the setup and operation of audiovisual and telecommunications equipment
- Help maintain smooth day-to-day operations within the office environment
Required Qualifications
- 3+ years of experience supporting senior leaders as an Administrative Assistant (ideally in a government or defense-related environment)
- Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Experience managing calendars, emails, and schedules in a fast-paced environment
- Experience coordinating travel (domestic and international) and expense reporting
- Ability to obtain a DoD Security Clearance
- Highly organized with strong attention to detail
- Excellent time management and ability to prioritize competing tasks
- Strong written and verbal communication skills
- Proactive, self-motivated, and able to work with minimal supervision
- Comfortable working with a variety of stakeholders across different teams and organizations
- Quick learner with a positive, team-oriented mindset
- Advanced skills in Microsoft Outlook and Office tools
- Experience working in a fast-paced, multi-team or cross-organizational environment
- Experience managing travel risks and adjusting plans as needed
- Experience supporting diverse teams, including international stakeholders
