Job Summary
The Administrative Specialist I provides general administrative and clerical support to Washington Headquarters Services (WHS) Directorates, Divisions, and Branches. The successful candidate is responsible for managing routine tasks such as scheduling, filing, data entry, and customer service. The assistant works closely with staff across departments to support day‑to‑day functions and maintain a professional and organized work environment. The position requires professionalism, attention to detail, and the ability to perform recurring administrative tasks in accordance with established WHS policies and procedures.
Key Responsibilities- Provide day‑to‑day administrative support, including answering telephones, greeting visitors, scheduling appointments, and maintaining calendars.
- Prepare, proofread, and format correspondence, reports, and forms in accordance with DoD and WHS standards.
- Assist in tracking taskers, drills, and exercises to ensure timely completion and accurate documentation.
- Support meeting coordination and logistics, including scheduling, conference room setup, and taking meeting notes.
- Maintain both digital and physical filing systems to ensure compliance with records management requirements.
- Assist with office supply inventory, ordering, and coordination of deliveries.
- Support travel coordination and preparation of travel documentation.
- Handle mail distribution and routing of incoming and outgoing correspondence.
- Provide administrative backup to other support staff as needed.
- Bachelor’s Degree in Business Administration or a related discipline.
- Minimum 4 years of administrative or clerical experience, preferably within a government or DoD environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
- Strong attention to detail, organization, and follow‑up.
- Ability to communicate clearly and professionally, both verbally and in writing.
- U.S. citizenship and an active, SECRET Security Clearance.

The salary range for this role is $42,000 USD – $72,000 USD. The salary range provided is a good faith estimate representative of all experience levels. Actual compensation will be determined based on experience and qualifications.
