Teaching Assistant - Arlington, VA
Kent, Campa and Kate Incorporated (KCK) is a federal contracting company that provides professional services to Government Agencies. We are currently seeking candidates for a full-time Teaching Assistant position in Arlington, VA supporting the National Foreign Affairs Training Center (NFATC), formerly referred to as the Foreign Service Institute (FSI).
Position Summary:
This position supports the Diplomatic Tradecraft and Regional Area Studies Training (DTET) directorate, Consular Training Division.
The Teaching Assistant handles differing situations, problems, and deviations in the work of the office according to the COR's or GTM's general instructions, priorities, duties, policies, and program goals. The TA uses judgement and initiative to determine the approach or action to take in non-routine situations, interprets and adapts guidelines, including unwritten policies, precedents, and practices. Additionally, the Teaching Assistant supports course delivery duties to include preparing course materials administratively (i.e., photocopying, posting article links to FSILearn, etc.),
preparing name tents, door signs, classroom preparation and clean up, audio-visual requests, GSO requests, coordination with program analyst on logistical arrangements (bus, field trips, etc.).
Required Qualifications:
- Secret Clearance.
- High School Diploma.
- U.S. citizenship.
- Experience:
At least two (2) years of experience in a related field. - Superior organization skills with a high level of attention to detail.
- Effective oral and written communication skills.
- Must be able to effectively perform their role using a variety of virtual training platforms, including but not limited to MS Teams, Web Ex, Zoom for Government, Google Meet, etc.
Preferred Qualifications:
- Associates or Bachelor's degree.
- Work experience in an educational or training institute.
Duties and responsibilities (including but not limited to):
- Drafts and prepares non-standard and routine correspondence, reports, and documents for GTM approval, ensuring accuracy, consistency, and proper clearances
- Supports administrative aspects of official travel documentation (e.g., passports/visas), including drafting and tracking requests
- Maintains records, files, and recurring administrative reports (e.g., time/leave, training plans, correspondence tracking) in accordance with established procedures;
- Performs complex data entry across multiple systems (e.g., SIS, MS Office, and other platforms);
- Provides comprehensive calendar and administrative management, including scheduling, screening communications, routing inquiries, and managing office workflows;
- Coordinates operational logistics such as supplies, service requests, and general administrative support for office operations;
- Reserves rooms for all courses; takes initiative to change room reservations to fit the needs of the course/students;
- Negotiates room needs with other program offices, updates course chair on any changes;
- Tracks registration/enrollment data daily as courses draw near; prepares enrollment reports and sends them to course coordinators and program chair; contacts students, as needed, to verify correct enrollment;
- Schedules speakers and confirms routine speakers as needed; notifies course chair of any changes in speakers' schedules and proposes schedule modifications as necessary;
- Researches and recommends new speakers or replacement speakers;
- Ensures all guests and speakers are on the visitor's list and escorted to the appropriate classroom if necessary;
- Liaises with students, instructors, and speakers, during class to provide guidance and support to the chairs and coordinators, to include in-class support; advises students on proper course enrollment, NFATC policies, required course materials, or supplemental learning materials needed;
- Tracks and assigns Zoom for Government accounts and supports virtual classes as required.
Program Support:
- Processes routine and non-routine requests by interpreting SOPs, policies, and guidelines, including adapting to evolving or unclear situations;
- Anticipates needs and prepares materials for meetings and leadership engagements; attends meetings and documents proceedings as needed;
- Reviews, interprets, and applies policies, procedures, and directives; exercises judgment to act on or escalate issues and recommend process improvements;
- Prepares, disseminates, and collects surveys, evaluations, and needs assessment questionnaires;
- Sets up and maintains various program websites including FSILearn;
- Collects data related to evaluations, needs assessments, or other similar activities;
- Notifies other NFATC offices (Registrar; Acquisition, Budget) of policy changes or new procedures within a component;
- Prepares written guidance on new or updated programs or SOPs for the offices.
