Office And Facilities Assistant
Arlington County Department of Libraries is seeking a part-time Office and Facilities Assistant to manage office supplies, and assist in library material receipt, distribution, records maintenance and inventory management. This position supports the Administrative Office and Facilities Manager in library facility management and administration.
Specific duties include:
- Monitoring office supply levels and purchasing office supplies from vendors using supply system software and distributing purchased office supplies;
- Managing the use of the department's County purchase card and ensuring proper use in accordance with department and County purchasing guidelines;
- Collecting revenue from all library locations' copiers and printers, and preparing spreadsheets to track revenue;
- Assisting with book deliveries to branch libraries;
- Performing light routine maintenance and upgrades to libraries as needed, such as installing whiteboards;
- Coordinating facilities service requests and repairs with contractors; and
- Performing job related duties as assigned.
The ideal candidate will possess the ability to:
- Provide excellent customer service and organizational skills;
- Engage as a team player in a small office environment; and
- Assess, prioritize and follow-up on assignments while ensuring attention to detail.
Minimum:
- High School diploma or GED, plus
- Some experience providing administrative support.
Substitution:
Successful completion of college coursework from an accredited college or university may be substituted for the experience requirement.
Desirables:
Preference may be given to candidates with experience in one or more of the following:
- Records maintenance;
- Inventory and supply budget management;
- Material purchasing and distribution;
- Using an electronic inventory supply system; and/or
- Coordinating with contractors or vendors to perform repairs or other services.
EPI Assessment:
To be considered for this position, you must achieve a passing score on the Employee Preferences Inventory (EPI) Assessment. Please note the following:
- If you have not taken the EPI within the past year, you will receive an email with instructions and a deadline for completing the assessment.
- If you have taken the EPI within the past year, your previous score will be used.
- Scores are valid for one calendar year.
- You cannot retake the assessment until one year has passed since your last attempt.
- Failure to complete the EPI by the deadline provided to you in email will disqualify you from this recruitment process.
Applicants must be able to lift items such as office supplies and books, up to 20 pounds.
Applicant must possess, or obtain by time of appointment, a valid motor vehicle operator's license from the applicant's place of residence or the applicant must have the ability and willingness to use alternative means of transportation to perform assigned duties and responsibilities at locations other than the primary worksite. The applicant must authorize Arlington County to obtain, or the applicant must provide, a copy of the applicant's official state/district driving record.
Any offer of employment may be contingent upon a favorable review of the applicant's driving record.
