Role Overview

The Professional Office Support Team (POST) is seeking a Full‑time Administrative Associate to provide comprehensive administrative support to senior leaders and employees within the Business Unit in Arlington, VA. This onsite role requires a U.S. citizen and the ability to obtain and maintain a DoD Top Secret security clearance.

Responsibilities
  • Provide administrative support to the BU senior leader and employees primarily located or assigned to the BU in BBN’s Arlington office.
  • Collaborate and support all other administrative teams within the organization when necessary.
  • Maintain senior leader calendar for meetings, events, vacation, and travel.
  • Answer routine questions on policies and procedures related to administrative performance, including expense reporting and group meals.
  • Coordinate internal meetings and functions, including arranging for visitors and ordering catered food.
  • Assist in meetings by preparing slides or other material for Zoom and/or in‑person formats.
  • Create and process trip/expense reports for leader and staff, and vendor check reimbursements.
  • Maintain log and track ongoing and outstanding travel claims.
  • Arrange and assist with travel reservations and process expense reports.
  • Coordinate with TA staff or managers on interview schedules.
  • Assist with new employee onboarding requirements for Business Unit employees in Arlington, as needed.
  • Coordinate, assist, and potentially generate export paperwork requirements as necessary.
  • Assist Facilities in coordinating office moves within the Business Unit when required.
  • Assist in maintaining company document repositories.
  • Order office supplies and maintain stock.
  • Coordinate and participate with other administrators across the business to build rapport and foster a collaborative environment.
  • Provide support, guidance, and input on evolving business changes, process improvements, and related initiatives.
  • Assist Communications to track support tickets, including managing the company store relationship for Business Unit or staff.
  • Support government property inventory barcoding, tracking, and periodic audits.
  • Perform other administrative and clerical duties as assigned.
Qualifications – Must Have
  • AA/AS degree (or other 2-year post‑high school training) with a minimum of 6 years of relevant experience.
  • Proficiency in Microsoft Office 365 applications (Word, PowerPoint, Excel).
  • Minimum 6 years of related experience.
  • US Person eligibility and ability to obtain any required export authorization.

  • Experience managing and coordinating calendars for leaders or teams.
  • Experience processing travel and expense documents for leaders and team members.
  • Great attention to detail and ability to multitask effectively.

  • Proactive in managing tasks, anticipating events, and responding to schedule changes.
  • Ability to think outside the box and work collaboratively.
  • Occasional domestic travel as needed to support another site.
