Executive Assistant
Sparks Group has partnered with a global professional services organization to identify a highly organized and proactive entry-level Executive Assistant to support senior leadership. This role will focus on providing day-to-day administrative support to Managing Directors and Senior Managers while also assisting with office coordination and operational tasks as needed.
The ideal candidate is detail-oriented, adaptable, and comfortable working in a fast-paced, professional environment while providing high-level executive support and exceptional service to internal teams and external visitors. Pay for this position will be $22/hr.
Responsibilities- Manage executive calendars by scheduling meetings, coordinating availability, and handling invitations on behalf of senior leadership.
- Coordinate domestic and international travel, including booking flights, rail, hotels, rental cars, and preparing expense reports with required documentation.
- Plan and support meetings and events, including reserving conference rooms, coordinating catering, printing materials, and arranging offsite venues when necessary.
- Provide administrative and operational support such as preparing reports, scanning and converting documents, ordering business cards, and assisting with passport or visa applications.
- Support office operations and visitor experience, including greeting guests, assisting with reception coverage, coordinating visitor logistics, and helping set up meeting spaces.
- Previous Executive Assistant or senior administrative support experience.
- Strong calendar management, travel coordination, and organizational skills.
- Proficiency in Microsoft Office Suite, particularly Outlook, Word, and Excel.
- Excellent communication and interpersonal skills with a professional and service-oriented approach.
- Ability to multitask and prioritize effectively in a fast-paced environment.
