Office Administrator Position Overview
We are seeking a highly organized, professional, and dependable Office Administrator to support our day-to-day business operations in Northern Virginia. The Office Administrator will provide administrative and operational support to management and staff while helping maintain an organized, efficient, and professional office environment.
The ideal candidate will have excellent organizational and communication skills, strong attention to detail, and the ability to manage multiple priorities while maintaining accuracy and confidentiality.
Key Responsibilities- Manage daily office and administrative operations.
- Provide administrative support to company management and staff.
- Manage incoming and outgoing emails, telephone calls, correspondence, and general communications.
- Prepare, format, proofread, and maintain business documents, reports, letters, spreadsheets, and presentations.
- Maintain accurate electronic and physical filing systems and business records.
- Coordinate meetings, appointments, calendars, conference calls, and office activities.
- Assist with preparation and organization of contracts, invoices, reports, and supporting documentation.
- Communicate professionally with clients, vendors, employees, and other external contacts.
- Assist with purchasing office supplies, equipment, deliveries, and vendor coordination.
- Track administrative deadlines and follow up on outstanding items.
- Assist management with research, data collection, reports, and special projects.
- Support employee onboarding and general personnel administration.
- Assist with travel arrangements and business logistics as needed.
- Maintain confidentiality of company, employee, financial, and business information.
- Perform data entry and maintain accurate databases and administrative records.
- Assist with improving office organization, procedures, and administrative processes.
- Perform other administrative duties and special projects as assigned.
- Bachelor's degree preferred.
- 3+ years of administrative, office management, or related experience preferred.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and priorities independently.
- Professional and courteous demeanor when interacting with clients, vendors, and employees.
- Ability to handle confidential information with discretion.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Power Point .
- Experience with Microsoft Teams, SharePoint, Adobe Acrobat, or similar business applications is a plus.
- Strong problem-solving skills and ability to work independently.
- Dependable, professional, and team-oriented.
This is an in-office position in Northern Virginia
. The position requires regular interaction with management, employees, clients, vendors, and other business contacts.
- Salary: $30,000 - $36,000 annually
, depending on qualifications and experience. - Full-time position.
