Mailroom Clerk

Our client is a mission-driven organization located in Arlington, VA. They are looking for a dependable and personable Mailroom Clerk to support daily mailroom, office services, facilities, and front desk operations. This is an excellent opportunity for a junior candidate who is reliable, professional, coachable, and comfortable taking on a variety of responsibilities.

Addison Group is hiring a Mailroom Clerk on behalf of our client. This entry-level position will help keep day-to-day office operations running smoothly by managing incoming and outgoing mail, coordinating deliveries, assisting with office services, and providing front desk coverage.

The ideal candidate does not need extensive mailroom experience, as our client is willing to train the right person on internal processes and procedures. We're looking for someone who is dependable, friendly, polished, and willing to jump in wherever needed.

Key Responsibilities:

  • Pick up and drop off mail at a designated local post office on a daily basis.
  • Sort incoming mail and ensure correspondence is distributed to the appropriate recipients.
  • Prepare outgoing mail, including applying postage and processing time-sensitive or trackable items.
  • Receive deliveries from USPS, UPS, Fed Ex, couriers, vendors, and other carriers.
  • Review incoming packages for obvious damage and communicate any issues to the appropriate team member.
  • Record, organize, and route packages and deliveries throughout the office.
  • Prepare outgoing shipments, shipping labels, and related documentation.
  • Coordinate carrier pickups and assist with shipment tracking when needed.
  • Maintain an orderly and professional mailroom, receiving area, and front desk.
  • Monitor office and mailroom supplies and restock materials as necessary.
  • Operate common office equipment such as copiers, printers, postage machines, shredders, and label printers.
  • Assist with copying, filing, document preparation, secure shredding, packet assembly, and other general office-services projects.
  • Provide support with meeting-room setups, office moves, onboarding materials, supply deliveries, and other internal logistical needs.
  • Welcome visitors, vendors, delivery personnel, and employees in a courteous and professional manner.
  • Assist with visitor check-in, badges, and maintaining accurate visitor records.
  • Provide basic directions and building-access assistance to guests.
  • Follow established building security, safety, mail-handling, and visitor-management procedures.
  • Protect confidential information and handle documents and packages with discretion.
  • Communicate any safety, security, delivery, or facility concerns to the appropriate supervisor.
  • Take on miscellaneous administrative and facilities-related tasks as needed.

Qualifications:

  • High school diploma or equivalent.
  • 1+ year of experience in mailroom operations, shipping/receiving, office administration, facilities, logistics, or a related area preferred.
  • The office sits on a military base - must be comfortable in this environment.
  • Valid driver's license and reliable access to a personal vehicle.
  • Ability to make a daily local trip to the post office.
  • Familiarity with USPS, UPS, Fed Ex, or other shipping carriers is a plus.
  • Basic proficiency with email, Microsoft Office, and standard office equipment.
  • Strong organizational skills and attention to detail.
  • Dependable, punctual, and consistent with assigned work hours.
  • Friendly and professional demeanor when interacting with visitors, employees, vendors, and delivery personnel.
  • Ability to work independently while supporting a small team.
  • Willingness to learn new procedures and accept coaching.
  • Comfortable handling a variety of tasks and helping wherever needed.
