Position Overview

ITSC is seeking an Administrative Assistant II to support the Cybersecurity and Infrastructure Security Agency’s council, advisory, and strategic engagement programs. This position will provide administrative and executive-level support toCISA leadership, councils, committees, working groups, and stakeholder
engagement activities.

The successful candidate will be organized, responsive, and detail-oriented, with the ability to coordinate meetings, manage correspondence, maintain records, and produce accurate leadership-ready materials.

Requirements

Key Responsibilities
  • Provide administrative and executive-level support, including scheduling, calendar coordination, correspondence management, task tracking, and workflow organization.
  • Coordinate leadership meetings and engagements with internal and external stakeholders.
  • Plan and support council, advisory, committee, and working-group meetings, including scheduling, logistics, registration, materials, attendance tracking, note taking, and follow-up.
  • Prepare and distribute agendas, meeting materials, pre-reads, summaries, reports, memoranda, briefing packages, and correspondence.
  • Support document routing, review, approval, and clearance tracking.
  • Maintain calendars, action-item trackers, suspense dates, participation records, distribution lists, and meeting schedules.
  • Manage designated email accounts, acknowledge inquiries promptly, and maintain accurate correspondence logs.
  • Organize and maintain electronic records, files, inventories, and supporting documentation in accordance with federal records-management requirements.
  • Track recommendations, decisions, votes, deliverables, and action items through completion.
  • Prepare meeting notes and clear, factual summaries of discussions and outcomes.
  • Proofread and edit documents for grammar, accuracy, formatting, consistency, and compliance with CISA and DHS standards.
  • Support the preparation of executive briefing decks, talking points, decision-support materials, and outreach products.
  • Assist with onsite meeting logistics, including venue research, registration, materials, and coordination with senior officials.
  • Perform additional administrative and program-support duties as assigned.
Required Qualifications
  • 4-8 years of administrative, executive support, program support, or office-management experience.
  • Ability to obtain and maintain a favorable DHS Suitability/Fitness Determination. Strong organizational, time-management, writing, editing, and communication skills.
  • Experience managing calendars, scheduling meetings, tracking deadlines, and maintaining records.
  • Experience preparing professional correspondence, meeting materials, reports, presentations, and summaries.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams. Ability to manage multiple priorities and meet established deadlines in a fast-paced environment.
  • Strong attention to detail and commitment to producing accurate work.
  • Ability to communicate professionally with government leadership and internal and external stakeholders.
  • U.S. citizenship.
Preferred Qualifications
  • Associate or bachelor’s degree in business administration, communications, management, or a related field.
  • Previous experience supporting DHS, CISA, another federal agency, or a government contractor.
  • Experience supporting senior executives, government councils, advisory committees, or working groups.
  • Familiarity with SharePoint, task-management systems, document-routing platforms, or collaboration tools.
  • Knowledge of federal records-management requirements or the Federal Advisory Committee Act.
  • Experience coordinating high-volume meetings and stakeholder engagements.
Summary Work Environment

Work will primarily be performed at CISA facilities in Arlington, Virginia. Teleworkmay be permitted with government approval. Occasional local or overnight travel maybe required.
