Office Administrator/ Coordinator, Business Analyst, Business Administration

Location: VA-Arlington, Hybrid 3-4 days onsite

- Support Project Managers and Analysts with the planning, executing, and monitoring of strategic initiatives
- Maintain project schedules, milestones, status reports, risks, issues, and action logs
- Coordinate meetings, governance reviews, agendas, meeting minutes, and action items and ensure timely follow-up
- Prepare presentations, dashboards, reports, and executive communications
- Manage document repositories, SharePoint sites, and project records
- Support stakeholder communications and cross-functional collaboration
- Assist with resource planning, and portfolio reporting
- Support vendor activities including RFPs, contracts, budget tracking, and invoice management
- Prepare and maintain presentations, reports, meeting agendas, and team communications
- Provide administrative support including calendar management and logistics
- Bachelor’s degree in Business, Technology, related field, or equivalent experience
- 2–5 years of project coordination or business analysis experience
- Strong organizational, communication (verbal and written), and time-management skills
- Proficiency with Microsoft Office, Teams, SharePoint, Jira, and project management tools
- Experience supporting multiple projects simultaneously
- Knowledge of project management methodologies and practices, including Agile, Waterfall, and Hybrid approaches
- Knowledge of business and data analysis principles and techniques, including requirements elicitation, process and data mapping, workflow analysis, and documentation of business and functional requirements
- Knowledge of project planning, scheduling, risk, issue, action item, and status reporting processes
- Knowledge of Microsoft 365 applications and collaboration platforms, including Teams, SharePoint, and Copilot (or similar AI-enabled tools), as well as Jira (or similar issue-tracking applications) and project management software
- Ability to manage competing deadlines using strong organizational skills and attention to detail
- Ability to define issues, establish facts, draw valid conclusions, and apply analytical thinking to business situations
- Ability to build collaborative working relationships with diverse stakeholders, foster cooperation and information sharing, and effectively work in a team environment while providing appropriate follow-up
- Ability to develop presentations, reports, meeting materials, and communications tailored to various audiences
- Ability to learn new systems, processes, and technologies quickly and effectively incorporates them into daily work
- Ability to communicate, both verbally and in writing, with a diverse membership, employees and/or vendors in a clear and precise manner
- Ability to use Microsoft Office tools (Excel, Word, Outlook, Power Point) and to operate various office equipment such as personal computer, copier, printer, fax machine or other job-related equipment
- Ability to provide service excellence by building relationships, being resourceful, responsive and respectful
- Experience with Workday and vendor invoice processing
- Experience supporting a PMO, Analysis team, or strategic programs
- Experience with Power BI or similar reporting tools
- Certifications:
- Actively pursuing PMP, ECBA, CCBA, or similar certification
