Project Coordinator – REHAB LLC

Responsibilities Project & Program Management
  • Implement and manage Job Tread setup, including training team members and overseeing job schedules, timesheets, and program configuration.
  • Coordinate projects across vendors, subcontractors, and internal project managers.
  • Monitor job lists and schedules to ensure timely execution and delivery.
  • Assist with bidding processes and securing project permits.
Vendor & Purchasing Coordination
  • Source and purchase materials, ensuring competitive pricing and timely delivery.
  • Maintain vendor and subcontractor compliance records.
  • Foster strong vendor relationships and negotiate favorable terms.
Administrative & Financial Oversight
  • Daily tracking of timesheets, job progress, and unit completions.
  • Approve and correct invoices; enter and send invoices with follow‑up.
  • Manage collections and accounts receivable (AR).
  • Oversee payroll timesheets and conduct background checks.
  • Handle Petro card, Good to Go accounts, and vehicle tabs/maintenance lists.
  • Track and manage company assets, including tools, equipment, and vehicles.
Communication & Reporting
  • Utilize Mailchimp for team and client communications.
  • Provide regular updates on work progress and employee performance.
  • Identify and address quality and productivity concerns.
Team Support & Compliance
  • Assist in managing additional staff and ensuring task completion.
  • Enforce REHAB LLC policies and procedures.

Qualifications
  • Experience in construction project coordination or related field.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Willingness to learn new software applications as needed.

  • Ability to multitask and thrive in a fast‑paced environment.
  • Commitment to quality, timelines, and team collaboration.
  • Demonstrates natural problem‑solving agility and a consistently positive, can‑do attitude.
