Role Overview

The Coupa Administrator is responsible for the configuration, administration, support, and continuous improvement of the Coupa Business Spend Management (BSM) platform. This role partners closely with Procurement, Finance, Accounts Payable, IT, and business stakeholders to ensure Coupa is optimized, compliant, and aligned with organizational policies and business objectives.

System Administration & Configuration
  • Serve as the primary system administrator for the Coupa platform.
  • Configure and maintain system settings, approval workflows, business rules, catalogs, suppliers, and user roles.
  • Manage Coupa modules such as Procure-to-Pay (P2P), Sourcing, Contract Lifecycle Management (CLM), Invoicing, and Supplier Management.
  • Perform testing and deployment of system changes, enhancements, and quarterly Coupa releases.
User & Supplier Management
  • Manage user access, permissions, onboarding, and role-based security.
  • Support supplier onboarding, enablement, and maintenance within Coupa.
  • Act as a point of escalation for user and supplier issues.
Support & Troubleshooting
  • Provide Tier 2/3 functional support for Coupa-related issues.
  • Troubleshoot system errors, transactional issues, and integration failures.
  • Coordinate with Coupa Support and internal IT teams to resolve incidents.
Integrations & Data Management
  • Support integrations between Coupa and Sage Intacct Accounting System.
  • Monitor data accuracy for master data, suppliers, chart of accounts, and approval hierarchies.
  • Assist with data validation, reporting, and audit readiness.
Reporting & Analytics
  • Develop and maintain standard and ad-hoc reports and dashboards.
  • Support spend analysis, compliance reporting, and management insights.
  • Ensure data integrity and consistency across reporting outputs.
Governance, Compliance & Continuous Improvement
  • Ensure Coupa configurations align with procurement and financial policies.
  • Document system configurations, procedures, and controls.
  • Identify opportunities for process automation and system optimization.
  • Participate in audits and compliance reviews related to spend management.
  • Other duties as assigned.
Qualifications
  • Bachelor’s Degree in Business, Information Systems, Finance, Supply Chain, or a related field (or equivalent experience) preferred. Coupa Administrator or Implementation Certification.
  • 3-7 years work experience administering or supporting Coupa or a similar P2P/Spend Management platform. Relevant experience in a, not-for-profit, military, multicultural and/or global organization preferred.
  • Experience supporting Coupa integrations with ERP systems. Familiarity with SQL, data analysis, or reporting tools.
  • Strong understanding of procurement, accounts payable, and finance business processes.
  • Experience with workflow design, approval hierarchies, and business rules.
  • Excellent problem-solving, communication, and stakeholder management skills.
  • Strong analytical, interpersonal, customer service and problem‑solving skills.
  • Ability to interact with USO Leadership, the general public and military audiences at a variety of levels with integrity and professionalism.
  • Ability to manage and influence external vendor relationships.
  • Demonstrated ability to exercise sound judgment related to controversial and/or culturally sensitive subjects.
