Position SummaryFor more than 40 years, the American Institute for Cancer Research (AICR) has funded innovative cancer prevention research and translated the latest science into practical, evidence-based information that empowers people to make healthier lifestyle choices. Every donor communication, publication, and fundraising campaign helps advance research, educates the public, and brings us closer to a world where fewer people develop preventable cancer.
AICR is seeking a collaborative, highly organized, and detail-oriented Direct Response & Production Coordinator to support our direct response fundraising and bring our print communications to life. Reporting to the Executive Director, this role serves as the day-to-day liaison between AICR and its direct mail agency and coordinates projects from planning and creative review through production and delivery.
Essential Responsibilities- Coordinate communication, schedules, approvals, and deliverables among AICR, its direct mail agency, internal reviewers, and outside vendors.
- Manage internal review of direct mail, fundraising, and print materials; keep projects moving and follow up on assignments.
- Review copy, layouts, artwork, proofs, and production files for accuracy, grammar, brand consistency, completeness, and overall quality.
- Coordinate scientific review with AICR’s Science team and consolidate feedback from multiple stakeholders into clear direction for agencies, designers, and vendors.
- Maintain version control and confirm revisions are incorporated before final approval.
- Coordinate newsletters, educational and planned giving materials, donor communications, institutional collateral, and event materials from concept through delivery.
- Coordinate designers, printers, mail houses, editors, and other vendors; obtain bids as needed.
- Verify production proofs and print files, including personalization, package versions, inserts, reply devices, premiums, and production specifications.
- Communicate campaign details, coding, documentation, and caging instructions; partner with Supporter Services to resolve implementation or fulfillment questions.
- Maintain organized SharePoint records, document procedures, recommend workflow improvements, and provide project updates.
- Bachelor’s degree in a related field or equivalent professional experience.
- Three to five years of experience in nonprofit fundraising, direct response, marketing project management, print production, agency coordination, or related areas.
- Strong project management, organizational, proofreading, editing, communication, and follow-through skills, with exceptional attention to detail.
- Ability to manage multiple deadlines and consolidate feedback from several stakeholders.
- Experience collaborating with internal teams, vendors, and external partners.
- Experience with nonprofit fundraising, print production, direct mail, donor communications, or CRM systems is a plus.
- Experience with nonprofit direct response fundraising, creative development, or print and mail production.
- Familiarity with print specifications, USPS mailing requirements, donor databases, or CRM systems.
Physical Requirements
- Hybrid work environment in accordance with organizational policy.
- Prolonged periods of sitting at a desk and working on a computer.
- Ability to review printed and digital materials for accuracy and quality.
- Occasional coordination with outside vendors, printers, or mail houses may be required.
