Accountant / Finance Assistant — ADRN

Position Summary

The Accountant / Finance Assistant supports the financial operations of the Aging and Disability Resources Network (ADRN), with a primary focus on grant accounting, compliance, and reporting. This role ensures that ADRN's grant-funded programs are accurately tracked, billed, and reported in accordance with funder requirements, and supports the Finance Director in payroll, month-end close, and audit preparation.

Minimum Qualifications

Bachelor's degree in Accounting, Finance, or Business Administration plus 2 years of relevant experience; OR an associate's degree plus 4 years of relevant experience in accounting or finance. Experience with Quick Books Online. Strong attention to detail, accuracy, and organization. Ability to manage multiple funding sources, budgets, and recurring deadlines. Comfortable handling confidential financial information with integrity.

Preferred Qualifications

Experience with grant or fund accounting, ideally in a nonprofit or government-funded environment. Familiarity with government grant compliance (such as federal Uniform Guidance / 2 CFR 200, Older Americans Act, or Area Agency on Aging / county contracts). Experience preparing reimbursement requests and financial reports for outside funders. Payroll processing experience (ADP preferred).

Key Responsibilities Grant Accounting & Compliance

Ensure financial compliance and accountability for the Aging and Disability Resources Network. Manage grant allocations and track complex, multi-source budgets. Coordinate annual budgets with the Finance Director and prepare monthly expenditure reports. Assist with coding invoices for grant reimbursement, including grant billing and reporting. Manage invoicing for the Center's grants and submit to the County Grant Finance department for payment on or before the 10th day of the succeeding month.

Prepare financial statements and assist with agency audits.

Payroll & General Accounting

Process the ADRN full payroll function, including journal entries, timesheet approvals, and communication with our ADP payroll processor. Record monthly journal entries and adjusting entries as needed.

Additional Grant-Accounting Duties

Monitor grant budget-to-actual spending and flag over- or under-spending to the Finance Director before it becomes a problem. Maintain supporting documentation for each grant to stay audit-ready, including for any Single Audit / Uniform Guidance requirements. Track required matching and in-kind contributions and document them for funders. Prepare reimbursement requests with complete backup documentation and reconcile against approved award budgets. Reconcile ADRN bank and general ledger accounts monthly.

Maintain cost allocation across programs and funding sources so shared and indirect costs are charged correctly. Support time-and-effort tracking so payroll charged to grants is properly documented. Track equipment or assets purchased with grant funds and maintain related records. Assist with 1099 preparation for ADRN contractors and subrecipients. Support contract renewals and new grant applications with budget preparation. Maintain records in line with each grant's retention requirements.

Prepare periodic ADRN financial summaries for leadership and the board.

Schedule:

Full-time, flexible. Pay: $30–$40/hour DOE. Benefits:
