We are seeking a highly organized Executive Assistant to support a fast-growing virtual bookkeeping and advisory team in Arlington, WA. This full‑time position is ideal for someone with strong administrative skills and a proactive mindset. The Executive Assistant will play a key role in ensuring smooth day‑to‑day operations, coordinating communications, and supporting leadership in managing financial workflows and client services. This position is based in Arlington, offering the opportunity to contribute to a professional team focused on improving bookkeeping processes and business performance for clients across Washington State.
Responsibilities- Manage calendars, schedule appointments, and coordinate meetings for executive staff in Arlington.
- Prepare and edit correspondence, reports, and presentations related to bookkeeping and client services.
- Serve as the primary point of contact for internal teams and external clients, ensuring timely communication.
- Assist with onboarding new clients and maintaining accurate client records.
- Support leadership in monitoring project deadlines, financial documents, and operational workflows.
- Coordinate virtual meetings, conference calls, and events, ensuring efficient logistics.
- Maintain confidentiality of sensitive financial and operational information.
- Help streamline administrative processes and identify opportunities for operational improvements.
- Proven experience as an Executive Assistant or in a similar administrative role.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite and common virtual communication tools.
- Ability to work independently and proactively in a remote or hybrid environment.
- Familiarity with bookkeeping, financial processes, or client services is a plus.
