POSITION TITLE: Aide – Central Office

STATUS: Hourly, Part-Time;
Non-Exempt

PAY CATEGORY: Food Service/CO Aide

REPORTS TO: Administrative Assistant to Superintendent

POSITION SUMMARY: This position provides receptionist, clerical, and administrative support to ensure the efficient daily operation of the District Administrative Offices. This position serves as the first point of contact for students, parents, staff, vendors, and community members by providing professional customer service in person, by telephone, and through electronic communication. The Central Office Aide supports multiple district departments by performing a variety of office, scheduling, mail distribution, data entry, and project support functions while maintaining confidentiality and promoting a welcoming environment.

ESSENTIAL FUNCTIONS:

  • Greet and assist students, parents, staff, vendors, and community members in a professional, courteous, and welcoming manner.
  • Answer incoming telephone calls, respond to routine inquiries, screen and direct calls, and accurately relay messages to appropriate staff.
  • Maintain front office reception coverage to ensure uninterrupted customer service.
  • Receive, sort, distribute, and prepare incoming and outgoing U.S. mail, interoffice mail, packages, and deliveries.
  • Sign for deliveries and notify appropriate employees of incoming shipments.
  • Schedule meeting rooms and assist with preparing meeting spaces and materials.
  • Provide clerical support including copying, scanning, filing, faxing, document preparation, and records management.
  • Enter and maintain data using district software and office applications, including Microsoft Office and Google Workspace.
  • Monitor office equipment, assist with basic troubleshooting, and coordinate service requests when needed.
  • Maintain front office forms, informational materials, bulletin boards, and displays.
  • Assist departments with special projects, mailings, research, events, and other administrative support as assigned.
  • Support and assist student workers or volunteers as assigned.
  • Maintain accurate records and exercise discretion when handling confidential student, personnel, and district information.
  • Monitor office supply inventories and communicate ordering needs.
  • Comply with all district policies, procedures, and confidentiality requirements.
  • Perform other duties as assigned.

  • Ability to interpret written and verbal instructions and determine appropriate courses of action.
  • Proficiency with Microsoft Office and Google Workspace applications and the ability to learn district software systems.
  • Ability to create reports, correspondence, spreadsheets, and other office documents.

BASIC REQUIREMENTS:

  • Clerical, administrative assistant, receptionist, or customer service experience preferred.
  • Previous experience in a school district or educational environment preferred.
  • Proficiency with Microsoft Office and Google Workspace applications preferred.
