Salary Range: $19.00 - $21.00 Hourly We are looking for a TEMPORARY Receptionist to help support our Business Office. This is a full-time position, working Monday - Friday from 8:00 AM to 4:30 PM. Individuals who are quick learners, organized, self-starters, and attentive to detail will do well in this position.
- Temp position only - anticipated duration: approximately 3-4 months, possibly more or less as needs are determined
- In-office Monday through Friday
- Work day shift (8:00 AM - 4:30 PM)
- No Weekends
- Comes with full-time benefits after 60 days of employment
The purpose of this position is to provide administrative support that maintains a highly efficient, organized work environment and ensures the quality management of front office records and documentation.

Duties and Responsibilities- Greet visitors, answer and route phone calls, respond to inquiries, and take messages.
- Manage incoming and outgoing mail, faxes, and general Business Office correspondence.
- Process donor records, including quarterly donor lists to Community Relations and monthly donation receipts and thank-you letters in the absence of the AL Administrative Assistant.
- File SNF nursing hours-related documents and reports for the Payroll Coordinator.
- Assist gift shop customers.
- Maintain files for active and discharged resident files;
Prepare and mail SNF Exit Letters, update and distribute resident face sheets and for SNF residents. - Create, maintain, and update databases, filing systems, call lists, facility maps, and other records on systems such as Basecamp, Icon, Excel, and Matrix Care.
- Maintain facility calendars, schedule appointments, and coordinate meetings and events, using Basecamp and Icon, for residents, family members, and Directors.
- Operate office equipment, including copiers, fax machines, and phone systems, and coordinate repairs as needed.
- Place orders to maintain urgent office supply needs, as well as place orders from Amazon or other vendors, for the organization. Provide invoices to Accounts Payable
- Prepare copies of forms, packets, brochures, and other Business Office documents.
- Manage employee meal tickets and provide them to the Payroll Coordinator for bi-weekly payroll processing.
- Enter resident and guest charges into Matrix Care to support Accounts Receivable.
- Prepare Board meeting agendas, packets, and minutes for distribution monthly.
- Provide administrative support to the Business Office and assist with departmental operations as assigned.

- Observe all facility policies and procedures, including safety and infection control policies and procedures.
- Complete tasks in accordance with both company policies and procedures, as well as adhering to California employment laws.
- Perform all other related duties as directed by his/her supervisor in an effective, timely, and professional manner.
- Follow Residents'Rights policies at all times.
- Assume accountability for all data contained in the employees' handbook.
- Attend all in-service trainings, complete Relias trainings as assigned, and attend staff meetings
- Must have an associate degree or equivalent (from a two-year or technical school), or two years of related experience, or equivalent combination of education and experience.
- Must be computer literate and able to learn new software as needed.
- Must have excellent verbal and non-verbal communication skills in English.
- Must have excellent interpersonal skills.
- Able to work independently, accept feedback, and self-evaluate.
- Must be in good physical and mental condition, capable of performing assigned tasks.
- Good health must be verified by a health and drug screening performed by a licensed physician, including a chest X-ray or intradermal test for TB.
- Must be able to hear, talk, and have a clear vision with or without corrective lenses.
- Must be able to sit in front of the computer for extended periods of time (more than 75% of the shift).
- Must be willing to work beyond normal working hours, if necessary.
