Job Title: Executive Assistant to the Academic Dean

Reports To: Vice President of Academic Affairs/Academic Dean

Location: On-site

Pay: $53,024-$68,616/Year

General Statement of Job Function

The Executive Assistant provides high-level administrative support to the Vice President of Academic Affairs/Academic Dean (“Academic Dean”). This role ensures the Academic Dean’s office operates efficiently, coordinates complex calendars and events, advances special projects, and serves as a professional liaison to faculty, staff, students, trustees, and external partners. Acting with sound judgment and discretion, the Executive Assistant anticipates needs, manages information flow, and represents the Academic Dean with excellence.

Essential Functions
  • Office Operations & Confidentiality – Oversee day-to-day office operations; establish procedures that promote efficiency, timely information retrieval, and strict confidentiality.
  • Calendar, Meetings & Travel – Manage a complex calendar; schedule meetings and conferences; coordinate agendas and materials; arrange domestic travel and itineraries; track follow-ups and action items.
  • Communications & Documentation – Draft, proof, and prepare correspondence, reports, presentations, and briefing materials; maintain organized records and files; exercise independent judgment in handling sensitive information.
  • Governance & Faculty Support – Provide administrative support related to the Board of Trustees, faculty governance, and Academic Affairs committees; coordinate meeting logistics and minutes as needed.
  • Budget & Purchasing Support – Monitor Academic Affairs budget activity; assist with reconciliations, expense reports, and purchasing in alignment with Seminary policies.
  • Project & Event Management – Lead or coordinate special projects at the direction of the Academic Dean; plan and execute Academic Affairs events (e.g., retreats, faculty meetings, academic ceremonies), including timelines, task assignments, venues, vendors, and on-site coordination.
  • Liaison & Representation – Communicate the Academic Dean’s directives and priorities to internal and external stakeholders with professionalism and clarity.
  • Customer Service & Reception – Welcome visitors; triage inquiries; route requests to the appropriate contacts; ensure a hospitable, service-oriented environment.
  • Other Duties – Serve on committees as requested and perform other responsibilities as assigned to advance Academic Affairs objectives.
Education & Experience
  • Bachelor’s degree preferred; equivalent combination of education and senior-level administrative experience considered.
  • Five (5)+ years of progressively responsible executive-level administrative support, ideally in higher education or a church‑related organization.
  • Demonstrated proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) and virtual meeting tools.
Knowledge, Skills, & Abilities
  • Soundly developed administrative and management skills as well as experience at a senior level.
  • Comprehension of the range and content of the Academic Dean’s responsibilities and duties.
  • Ability to relate graciously and intelligently to the various constituencies of the Seminary.
  • Able to maintain confidentiality in the work of the office, including the work of the Academic Dean, the Executive Leadership Team, Board of Trustees, and committees, as well as faculty/staff/student constituency.
