Registrar & Family Coordinator — Alma Campus

High Rockies Community School, 2026–27

Reports to: Executive Director

Compensation: $39,670 – $48,891/annually

Benefits: ICHRA contribution, PERA Retirement, paid days off, most Fridays off

Location: Stationed at the Alma campus (the on-site presence at Alma), occasional travel required

Alma needs a warm, organized go-getter who is the welcoming face for families and the steady hand behind enrollment and communications. This person is the on‑site presence at Alma day to day and the outward-facing voice of the school for both campuses.

This is one of two operational roles for 2026–27, and the two are built the same way. Each role is split in half. One half is identical across both positions: each person is the day‑to‑day operations and health‑tech point person for their own campus — the Registrar & Family Coordinator at Alma, the Operations Lead at Sacramento Creek Ranch. The other half is network‑wide and unique to each role: the Registrar & Family Coordinator owns enrollment and family communication for the whole school, while the Operations Lead owns business operations — vendors, procurement, and HR support — across both sites.

What You’ll Do
Registrar & Enrollment (All Sites)
  • Own recruitment, enrollment and attendance workflows across both campuses and all programs: enrollment packets, transfers, records requests, and timely, complete data submissions.
  • Manage and maintain accurate student records and their systems as appropriate with state law and authorizer expectation.
  • Lead FRL form collection, parent follow‑up, and tracking — recognizing this work ties directly to school funding.
  • Lead McKinney‑Vento data collection and communicate as appropriate with the Executive Director and Student Services Coordinator as appropriate to deliver services.
Family Communications (All Sites)
  • Serve as the daily parent point of contact at Alma: late arrivals, early pickups, and end‑of‑day dismissal accountability.
  • Provide phone coverage and reception for the network, fielding family calls for both sites.
  • Be the welcoming, dependable face of Alma for families and visitors.
  • Lead school communications: newsletters, website updates, social media (Facebook), and parent notices across both campuses.
  • Keep families informed and engaged, helping tell the HRCS story across both campuses.
Scheduling & School Calendar (All Sites)

  • Own and maintain the school‑wide calendar across both campuses: key dates, events, closures, and family‑ and staff-facing schedules.
  • Schedule and coordinate enrollment and family appointments across both sites: tours, family interviews, and home visits.
  • Coordinate scheduling and logistics for school and community events, meetings, and visits, keeping both campuses in sync.
Site Operations & Logistics (Alma)
  • Be the day‑to‑day go‑to person at Alma — the one teachers radio and parents find when something needs to happen.
  • Manage facilities, maintenance, and cleaning at the site — coordinating and overseeing vendors and the work, not personally doing every task.
  • Keep the site stocked: place and receive supply orders, track inventory and consumables, and keep classrooms and common spaces ready.
  • Help make sure students have enough to eat during the day (HRCS has no formal food‑service program at this time; this may be added in the future).
  • Provide daily on‑site coverage; support event and celebration logistics, working with parent volunteers.
Health Technician (Alma)
  • Serve as the designated on‑site health responder at your campus — first aid, caring for ill or injured students, and contacting families as needed.
  • Administer student medications and maintain accurate medication logs, under the delegation and supervision of the school nurse.
  • Maintain student health records and immunization compliance, and help coordinate required screenings (vision, hearing) with the part‑time School Nurse across both campuses and all programs.
