As the first point of contact for residents, visitors, vendors, and partner agencies, you will provide exceptional customer service while supporting a variety of administrative functions that keep our organization running smoothly.

You'll assist with front office operations, answer questions, manage records and correspondence, coordinate information, and provide administrative support for district programs and initiatives.

  • 12-20 hours per week
  • Combination of full and half days
  • Office hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. Friday from 8:00 a.m. to 4:00 p.m.
Position Summary

The Front Office Coordinator serves as a welcoming and professional first point of contact for visitors, callers, and community members. This position is responsible for managing front desk operations, telephone communications, and a variety of clerical and administrative functions that support the efficient operation of the district’s administrative offices. The Front Office Coordinator plays a key role in delivering excellent customer service, maintaining a professional office environment, and supporting the day-to-day business needs of the district.

The Job title reports to the Front Office Supervisor.

Primary Duties and Responsibilities:

The following duties are intended to describe the primary duties and responsibilities of the Front Office Coordinator and should not be construed as an all-inclusive list. Additional duties may be assigned based on operational needs.

Front Desk & Communication
  • Promptly, accurately, and professionally receive and direct all telephone calls and visitors.
  • Operate multi-line phone systems, answer questions or direct calls to the appropriate person, department, or external agency.
  • Provide coverage during planned and unplanned absences of the Front Office Supervisor or fellow team members
  • Maintain a professional, welcoming front desk environment that reflects positively on the district.
Administrative & Office Support
  • Perform routine office duties such as sorting mail, typing, proofreading, digital filing, copying, laminating, and data entry.
  • Process payments for programs and departmental needs in compliance with district policies.
  • Assist with or complete special projects as assigned.
  • Sign for and notify recipients of deliveries and route deliveries appropriately.
  • Maintain databases and records for Ambulance Membership and Development Plans.
  • Utilize district software systems to manage records, track information, and support administrative processes.
Information & Documentation
  • Acquire and maintain a working knowledge of district rules, policies, and procedures as outlined in the Member Handbook, Standard Operating Guidelines, and Front Office Informational Procedures (Levels 1 and
    2).
  • Coordinate scheduling, communication, and confirmation of Community Risk Reduction (CRR) events for operations personnel.
  • Maintain accurate records, calendars, and documentation related to assigned responsibilities.
  • Maintain confidentiality and exercise discretion regarding all district information, personnel matters, and organizational activities.
Teamwork & Representation
  • Foster positive and professional relationships with staff, volunteers, retirees, residents, and external partners.
  • Communicate clearly, courteously, and constructively both verbally and in writing.
  • Work collaboratively in a supportive, team-oriented environment.
  • Provide exceptional customer service to community members, visitors, and district personnel.

Qualifications

Minimum Qualifications and Certification Requirements
  • Minimum 18 years of age.
  • Possess a high school diploma or G.E.D.
Required Knowledge, Skills, and Abilities (KSAs)
  • Proficient in typing and data entry with a level of speed and accuracy appropriate for administrative and customer service functions.
