About the Role

This role manages the entire sales order lifecycle – from data entry in SAP to invoicing and delivery – ensuring compliance with internal approval workflows. A key focus is tracking order status and machine/parts readiness, coordinating with production, installation, and finance teams to align timelines and delivery schedules.

Key Responsibilities
  • Day‑to‑Day Operations
    • Enter and maintain sales orders in SAP
    • Create and manage data/orders, including order changes and critical dates (production, shipping, arrival, billing)
    • Manage and distribute order confirmations and invoices
    • Track open orders and issues, process warranty claims
    • Communicate with customers via telephone or email to provide support and product information
  • End‑to‑End Order Ownership & Execution
    • Handle all key account orders—projects, machine orders, parts orders—from entry through invoicing and delivery
    • Ensure accuracy and timeliness of data in SAP
  • Customer & Account Alignment
    • Primary operational contact for key accounts, managing communication, expectations, and consistent updates across parts sales and RMA orders
  • Cross‑Functional Coordination
    • Collaborate with key account managers, engineering, sales, production, logistics, installation, and finance teams to align project scope, timelines, and customer requirements
  • Execution, Timeline & Project Management
    • Track production schedules, delivery timelines, site readiness, installation coordination, and parts fulfillment
    • Partner with Key Account Managers to proactively resolve risks or delays
  • Documentation, Compliance & Financial Oversight
    • Maintain complete documentation—order intake, site surveys, delivery/acceptance records, invoicing—throughout the order lifecycle
    • Ensure compliance with internal approval processes and monitor payment milestones
  • Workflow Optimization & Process Improvement
    • Identify, standardize, and implement process improvements to enhance efficiency and consistency across projects and order management
  • Operational Support Flexibility
    • Provide supplemental support to day‑to‑day parts order customer service when key account responsibilities are fully managed
  • Entrepreneurial Spirit – approach objectives with continuous improvement and constructive feedback mindset
Qualifications
  • Education – Bachelor’s degree or equivalent work experience
  • Experience – Proven experience in sales support, order management, data entry, or logistics; familiarity with order processing workflows and customer service operations
  • Technical Skills – Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); SAP preferred but not required;
    Salesforce experience preferred but not required
  • Soft Skills & Abilities
    • Strong verbal and written communication for interacting with clients and internal teams
    • Excellent organization and attention to detail for managing multiple orders
    • Problem‑solving and the ability to assess situations, identify issues, and implement timely solutions
    • Multitasking capacity in a fast‑paced environment while meeting deadlines

Physical Requirements
